Job Overview:

The HVAC Service and Sales Dispatcher is responsible for coordinating and scheduling service calls, managing customer inquiries, and supporting the sales team to ensure smooth operations for HVAC services and sales. This role plays a critical part in ensuring timely and efficient customer service delivery, as well as helping with the management of sales appointments, technician assignments, and customer communication.

Key Responsibilities:

  • Service Dispatch:
    • Schedule, assign, and dispatch HVAC service calls to technicians based on customer needs and technician availability.
    • Ensure that the correct technician is assigned to each service call, considering expertise, location, and urgency.
    • Prioritize service requests based on urgency, customer status, and business needs.
    • Manage and track technician work orders to ensure timely completion of service calls.
    • Maintain communication with technicians in the field to handle updates, changes, or emergency situations.
  • Customer Service:
    • Respond to customer inquiries via phone, email, or in-person regarding HVAC services and sales.
    • Provide customers with accurate information about service availability, pricing, and scheduling.
    • Resolve customer issues and concerns in a professional and efficient manner.
    • Handle customer complaints and escalate them to management if necessary.
  • Sales Support:
    • Schedule and coordinate sales appointments for HVAC installation or replacement consultations.
    • Provide sales team with relevant customer and service information to assist in closing sales.
    • Assist with tracking and follow-ups on leads, ensuring timely customer contact.
    • Support the sales team in quoting and closing deals when necessary.

    Qualifications:

    • Education: High school diploma or equivalent required. Associate’s degree or some college coursework preferred.
    • Experience: Minimum 1-2 years of experience in HVAC dispatching, customer service, or administrative roles. Experience in HVAC industry preferred.
    • Technical Skills: Familiarity with HVAC systems, service terminology, and basic troubleshooting. Proficiency with scheduling software, Microsoft Office Suite, and CRM systems.
    • Communication Skills: Excellent verbal and written communication skills. Ability to communicate clearly with both customers and team members.
    • Organizational Skills: Strong organizational and time-management skills to manage multiple tasks and competing priorities.
    • Problem-Solving: Ability to identify issues quickly and take appropriate action to resolve them efficiently.
    • Customer Service Focus: A customer-first attitude, with the ability to build and maintain strong relationships with clients.

    Physical Requirements:

    • Ability to sit for extended periods, use a computer, and manage phone communications.
    • Occasional lifting of office supplies, documents, or materials (up to 25 lbs).

    Work Environment:

    • Office-based environment, with occasional in-field visits as needed.
    • Fast-paced work environment with frequent interruptions and changes in priorities.
