The Maricopa County Department of Correctional Health Services is seeking a motivated, organized, and efficient Administrative Assistant to assist and coordinate nursing operational functions.

We Require
Three years of responsible clerical and/or administrative experience
High school diploma or GED
Must complete an MCSO-HR fingerprint/background check
We Also Value
Associate’s degree in business or a related field
Experience with compiling and tracking data, writing reports, and creating and editing documents
Three years of experience using a variety of office equipment and software (i.e., PC, Outlook, Word, Excel, SharePoint, PowerPoint, Adobe)
Job Contributions
Provides comprehensive administrative support related to creating, finalizing, and maintaining documents and correspondence such as clinical practice guidelines, policies and procedures, databases, information packets, memos, emails, and other communications for all aspects of nursing management
Maintains calendars for the Director and Assistant Director of Nursing by scheduling and preparing for meetings, appointments, and events
Serves as a point-of-contact for nursing executive leadership, maintaining confidentiality and appropriately routing and prioritizing requests, messages, emails, and calls received
Prepares meeting agendas and presentation materials, takes and transcribes meeting minutes, and prepares summaries for review and distribution
Accurately maintains and works to improve the information available on the Nursing SharePoint site
Independently manages time and work volume to ensure deadlines are met and supports leadership with time-sensitive needs
Maintains communication between nursing executive leadership, CHS leadership, and support staff and answers requests within the scope of authority
Coordinates, researches, and provides required information for various special projects
Disseminates vital quality management information and updates to Correctional Health Services employees using the Correctional Health Services distribution list
Functions as administrative liaison for NCCHC annual accreditation maintenance reports and as the point of contact for on-site visits
Carries out all administrative phases of the annual patient satisfaction survey. This includes preparing and distributing packets, gathering and compiling survey results, creating final reports, and communicating survey outcomes per protocol
Performs general office duties such as photocopying, faxing, mailing, and managing office supply inventory in a fiscally responsible manner
Supports and assists with nursing recruitment responsibilities as needed
Working Conditions
Must be able to work inside an office/administrative area of a correctional facility
May be assigned to various clinical jail locations in the Phoenix area within a 5-mile radius
