Operations Team Leader

JOB PURPOSE
Responsible for overseeing daily facility operations, leading a support team, and ensuring an optimal workplace environment. Manages office services, event space coordination, vendor relationships, and workflow efficiency. Supports the Operations & Facilities Manager in strategic planning, budgeting, and process improvements to enhance overall office functionality.
 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Supervise and coordinate the Operations Team’s workflow and assign work orders across business units; evaluate production and implement process improvements.
  • Maintain office appearance to uphold corporate standards, ensuring private offices, workstations, conference rooms, and common areas meet expectations.
  • Act as liaison with headquarters building management, report issues, ensure timely restroom cleaning, stock supplies, and respond to repairs and emergencies.
  • Oversee mail processing for the Cleveland office, ensure compliance with guidelines, manage inventory of mailing supplies, fund postage meters, and reduce unnecessary incoming mail.
  • Supervise stock and maintenance of café areas, ensuring coffee stations, utensils, fixtures, and appliances are operational and cleaned regularly. Process all supply orders & invoices, as needed.
  • Manage supply/copy rooms, ensuring adequate inventory of paper, office supplies, binding materials, recycling bins, and branded materials.  Process all supply orders & invoices, as needed.
  • Source and manage vendors for office furniture, cleaning, shredding, vending, branded products, mail services, appliances, ergonomic equipment, and other office needs.
  • Oversee parking assignments, including direction, placement, and lot management, ensuring all details are accurately posted in MyOswald and effectively communicated to staff across all offices.
  • Coordinate and lead safety and evacuation training for new hires with Loss Control staff, maintain documentation on MyOswald and in Welcome Booklets.
  • Support branch locations with facility needs, including office supplies, maintenance, and vendor coordination.
  • Manage office furniture maintenance by identifying issues and coordinating vendor repairs.
  • Assist with office relocations, supporting the Department Operations and Facilities Manager in transitions and related projects.
  • Participate in business acquisitions, supporting integration of people and materials into existing operations.
  • Work with Operations & Facilities Manager to develop and manage the annual operations budget.
  • Manage the event space in collaboration with the Marketing team, ensuring a seamless experience for clients, guests, and employee-owners.
  • Oversee conference center facilities, maintaining cleanliness, functionality, and a professional atmosphere aligned with brand standards.
  • Coordinate event services, including room setup, cleaning, and vendor arrangements for bartending, catering, and other event needs.
  • Design the ideal user experience, ensuring the space meets expectations for both internal and external events.

EDUCATION AND PREVIOUS EXPERIENCE

Qualifications:

  • Bachelor’s degree in business administration, facilities management, or a related field, or equivalent combination of education and experience.
  • 3-7 years of experience in facilities management, office operations, or a similar role.

Required Experience:

  • Proven experience overseeing facility operations in an office environment.
  • Strong background in vendor management, office services, and event space coordination.
  • Experience managing budgets, optimizing workflows, and implementing process improvements.

PHYSICAL DEMANDS

This role involves a mix of administrative work and hands-on tasks, requiring moderate physical activity. Reasonable accommodation can be made if needed.

  • Movement: Expect to spend time standing, walking, reaching, and occasionally kneeling or crouching. Some tasks may require sitting or balancing.
  • Lifting: Regularly lifting up to 10 lbs, with occasional lifting of up to 25 lbs.
  • Manual Dexterity: Ability to handle materials, operate office equipment, and perform basic maintenance tasks.
  • Vision: Requires good close and distance vision, color recognition, depth perception, and the ability to adjust focus as needed.
