WHAT IS THE JOB?

Joining our National Program Operations Team as a Project Coordinator, you'll play a key role in delivering project planning, coordination, and administrative support across departments, with a focus on California County Partners. You’ll manage communication, coordinate event logistics and travel, maintain digital platforms and resources, and support collaboration across teams. This includes tracking project milestones, organizing data, supporting California scholarship initiatives, and ensuring timely follow-up on tasks. You’ll also assist with budgeting, scheduling, and content management, and administrative support of our On-Call, Part-Time Employees (OCPTE) who support departmental projects. This is a fully remote position with light travel, and you must be located in California.

  • Flexibility in work location: This position may work 100% remote (with an expectation of travel of +/- 10%). As this role will directly support our County Office partners in California, the candidate in this role must live in California.

  • Generous Paid Time Off (PTO): This position is eligible for 17 days of PTO per year, with 12 paid holidays plus a winter break in between Christmas and New Year’s Day.

Pay Rates for This Position

We bring in all employees at the midpoint of the salary range for your role. Knowing that not all cities share the same cost of labor, we make offers using a tiered approach based on your geographical location. The majority of our employee-base live in a Zone 1 or Zone 2 location.

For the Project Coordinator, National Program Operations position, here is what we will offer:

Zone 1 (e.g., Charleston, WV, Cleveland, OH, Yuma, AZ, Omaha, NE, etc.): $28.90 / hour

Zone 2 (e.g., Syracuse, NY, Ann Arbor, MI, Denver, CO, San Diego, CA, etc.): $31.06 / hour

Zone 3 (e.g., Washington, DC, Trenton, NJ, Los Angeles, CA, Seattle, WA, etc.): $33.23 / hour

Zone 4 (e.g., Bridgeport, CT, New York City, NY, San Francisco, CA, San Jose, CA, etc.): $36.83 / hour

*The specific cities listed above are examples of cities that fall within the respective salary zone. This is not an exhaustive list of cities.

WHAT WILL YOU DO IN THIS ROLE?

  • Develop plans, including timelines and milestones, and track project performance to ensure timely completion of tasks.
  • Work collaboratively with team members and other AVID Center departments, including California County Partners, to ensure efficient departmental and cross-departmental processes and procedures.
  • Manage communication, conduct research, assemble information from various sources, and manage the department budget as required. This includes coordinating small projects, particularly those related to California Scholarship initiatives.
  • Schedule and coordinate meetings with internal teams and external partners, take detailed notes, and follow up on action items to ensure progress. This includes tracking deadlines, assigning responsibilities, and communicating the status of action items to stakeholders.
  • Coordinate and support registrations and logistics for AVID Center events and trainings with a focus on both external and internal client support. This includes managing communications, travel, and staffing, particularly for county partnerships.
  • Organize and coordinate data, contracts (client and/or OCPTE), OCPTE time sheets, financial record keeping, reporting, and invoices; provide support for content management, materials, or resources, ensuring all relevant information is accessible and up-to-date.
  • Create, communicate, support, and maintain databases/spreadsheets, websites, correspondence, marketing, digital platforms/tools, and informational materials; distribute, collect, and analyze reports, materials, and presentations, including project data, surveys, and event evaluations as needed.

NICE TO HAVES?

  • Professional AVID experience (site-level or internal AVID Center experience) and knowledge of the AVID College and Career Readiness Framework
  • Experience working with school districts in California and/or County Offices
  • Experience with platforms such as Canvas, Salesforce, Smartsheet, and MyAVID
  • Bachelor’s Degree

Qualifying work experience, as identified by the Senior Director, Human Resources, may substitute for the education requirement.
