Position Summary

Assists in coordinating and managing events and facilities use at Santa Fe Community College and the Santa Fe Higher Education Center. This position supports campus and community events, ensuring seamless logistics, outstanding customer service, and a welcoming experience for all stakeholders. Requires a strong commitment to serving a diverse college community and active participation in continuous quality improvement initiatives.

Duties & Responsibilities

  • Event Coordination: Direct and manage event logistics, including collaboration with customers, clients, and colleagues in various college departments.
  • Scheduling: Oversee event schedules and ensure all necessary arrangements are executed efficiently.
  • Logistics Management: Assist with room setups, technology arrangements, and catering services.
  • Stakeholder Communication: Maintain clear and effective communication with all event participants, and market SFCC facilities to potential clients.
  • Project Coordination: Assist in leadership of large-scale event projects, ensuring that all timelines and objectives are met.
  • Contract Management: Develop, manage, and adjust contracts for external customers and tenants.
  • Revenue Supervision: Assist with overseeing department revenues and invoices, contributing to budgetary goals.
  • Policy Enforcement: Implement and uphold department policies and procedures.
  • Technology Coordination: Coordinate and collaborate with IT, security, custodial, facilities, and other departments to ensure smooth operations for events.
  • Event Supervision: Coordinate, train, direct and support event-related personnel, volunteers and/or vendors to ensure event success.
  • Knowledge, Skills, and Abilities

    Knowledge of:

  • Event planning and facilities coordination principles.
  • Audio-visual and wireless connectivity systems.
  • Basic computer setup for presentations and streaming/internet access.
  • Customer service principles and public engagement practices.
  • Skill in:

  • Using computers and job-related software including Astra, Banner, and Asana.
  • Problem-solving, adaptability, and multitasking in dynamic environments.
  • Clear and professional oral and written communication.
  • Ability to:

  • Provide excellent customer service to both internal and external clients, with a focus on responsiveness, professionalism, and problem-solving.
  • Prioritize tasks and meet deadlines under pressure.
  • Work effectively with diverse stakeholders across departments.

  • Work Hours

  • Typically, 8 a.m. to 5 p.m., Monday through Friday, with the potential for after-hours and/or weekend work.
  • Physical Demands

  • The role involves intermittent sitting, standing, walking, bending, crouching, or stooping. Occasionally, lifting of light and heavy objects and climbing ladders may be required.
  • The work is performed both in office settings and outdoor environments, sometimes in inclement weather conditions.

Minimum Qualifications:

  • Minimum Qualifications

  • Associates degree in a related field with 1 year of experience in event planning or a closely related field.
  • Equivalent combinations of education and experience will be considered.
  • Preferred Qualifications

  • Experience in marketing, community relations, communications, higher education, hospitality management, business, or facilities coordination is strongly preferred.
  • Experience using event scheduling tools.
  • Experience with Microsoft Office or similar software.
  • Familiarity with AV and IT equipment used in event settings.
  • Experience working in a higher education or public-facing environment.
  • Demonstrated experience delivering high-level customer service.
