For the CEO:
Calendar Management: Coordinate and manage the CEO’s schedule, ensuring optimal time management and prioritization of tasks, using Google Workspace applications.
Travel Coordination: Arrange travel itineraries, accommodations, and logistics for the CEO.
Meeting Coordination: Organize and facilitate meetings, including scheduling, preparing agendas, and following up on action items.
Logistics Management: Oversee logistics for executive-level meetings, events, and engagements.
Expense Management: Track and reconcile expenses related to the CEO’s office.
Confidentiality: Handle sensitive information with the highest level of discretion and confidentiality.
Ad-hoc Projects: Lead and execute special projects as assigned, demonstrating initiative and independent problem-solving.
Office Management:
Oversee daily office operations, ensuring a productive and efficient work environment.
Manage office supplies and vendor relationships.
Plan and coordinate periodic corporate events, including meetings and team-building activities.
Manage event logistics, such as venue selection, catering, transportation, and technology needs.
HR Support:
Assist in recruitment processes, including job postings, scheduling interviews, and onboarding new employees.
Manage employee records and maintain HR documentation in compliance with legal requirements.
What we need from you
Bachelor’s degree.
Five years of administrative assistance experience and at least 2 years’ experience reporting to the C-Suite, in a fast-paced environment.
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Proficiency in Google Workspace; experience in Ramp, Slack, HubSpot and Rippling desirable.
Ability to multitask and prioritize effectively.
High level of professionalism and discretion.
Occasional availability outside of normal business hours required.
