Job Description

The University of Nevada, Las Vegas invites applications for Administrative Assistant III.

ROLE of the POSITION

The Department of Philosophy is seeking an Administrative Assistant III (AAIII) to manage the department office and provide administrative support for all departmental activities. The successful candidate will be able to work independently at a variety of ongoing tasks, ensuring that each task is completed on time.

Responsibilities of the position include assisting students, faculty, and community members in the office, email, and by phone; maintaining office supplies and managing both equipment inventory and departmental space inventory; supervising student workers; processing the hiring of all Part-Time Instructors (PTIs) in Workday each semester; generating contracts for PTIs and student employees; and scheduling each semester’s courses in MyUNLV.

The successful candidate must be capable of managing departmental budgets and maintaining accurate accounting records. This includes obtaining a PCard, processing all departmental expenses and travel documents in Workday, and accurately reconciling transactions. The position also requires attendance at all College of Liberal Arts AA meetings, relevant trainings, and, if requested, department faculty meetings. The AAIII will also work closely with the department chair on other assigned duties.

This position is not eligible for remote work; it is an On-Campus position, Monday through Friday, 8 am to 5pm.

MINIMUM QUALIFICATIONS

EDUCATION AND EXPERIENCE: Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

PREFERRED QUALIFICATIONS

Experience with Excel, Adobe Acrobat, Workday, ISP contracts, MyUNLV scheduling, Asset Works, Space Management Archibus, and Book Orders. Previous office management experience and previous experience with graphic design are a plus.

SALARY

Grade 27 Step 1, salary $46,207.44. "Step" means the number assigned by the Division of Human Resource Management to identify a specific rate of pay within a grade. Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
