Department Overview

The Department of Ophthalmology is recruiting for an Ophthalmic Imaging Manager. This position oversees the clinical operations of the Ophthalmic Imaging division at Casey Eye Institute, Department of Ophthalmology at Oregon Health & Science University. Ensures appropriate supervision of staff members which includes task assignment, workflow, performance evaluations, discipline, orientation, training and development. Promotes teamwork, internal/external customer service. Oversees purchasing and maintenance of supplies and equipment. Other duties include fiscal and budget management, strategic planning, project management, program development and supporting recruitment/retention. Works with division heads and all faculty physicians within the department (approx. 70) to maintain and improve departmental practice standards and overall patient experience. Assists with departmental projects as assigned. This position is under the supervision of the Chair and Director of the Casey Eye Institute.

Function/Duties of Position

Personnel management duties include supervision of front desk and receptionist/back office positions. Coordinates divisional staffing coverage at Marquam Hill, CHH and Vancouver retina clinics (Imaging coverage).  Models service excellence expectations within the division.  Resolves staff performance/behavior issues.  Works with physicians and support staff to discuss technical, operational and equipment issues, problem solves and monitors ongoing activities. Involved with clinical research study preparation, and source documentation requirements.

 

Maintains 40 imaging devices following maintenance and ITG updates at CEI, ECEC and CHH. Meets with ITG every 3 weeks to maintain OHSU security guidelines. Maintains Continuum Image management system is viable and functioning for clinic review.

 

Employee works with all age groups and duties are in support of Service Excellence and include the following: Performs a wide variety of ophthalmic photography procedures including color fundus photography, fluorescein angiography, ICG angiography, OCT, Anterior segment OCT, slit lamp photography, Gonio photography, OCTA, imaging in the OR –retcam photography.

 

Employee involved in strategic planning, budgeting and monitoring overall performance of the Imaging Services at Casey.  Keeps abreast of current ophthalmic photography techniques, processes and equipment to ensure program is current and state of the art.

 

Employee manages (hires, fires, trains and disciplines) ophthalmic photographers, and administrative staff.  Manages staffing to assure coverage for all Casey Eye locations/clinics.  Participates in staff meetings, informs personnel of policy and procedural changes and assists with compliance issues, providing materials and education to staff about related expectations.

 

Assist in departmental and divisional planning, implementation and evaluation of clinical services, as well as associated administrative operations and activities.  Monitors access, patient satisfaction, professional referrals and surgical schedules. Identifies development, education and recruitment plans to address programmatic needs and ensures effective execution.

 

Financial duties include assisting in preparation of annual budgets and helps monitor expenditures.  Responsible for ensuring accurate and comprehensive processing of charge capture for facility and professional billing activity within each division.

 

Fields, manages and responds to perceived external customer service failings.  Acts as a liaison in appropriate resolution and socializes any organizational learning opportunities.

 

Teaches residents in the areas of ophthalmic photography.  Trains staff and faculty members on new developments and techniques in ophthalmic imaging.

Required Qualifications

BA/BS or AA in Health Care Administration, Business or related field, OR an equivalent combination of education and experience where two years of additional supervisory experience may substitute for an Associate’s degree and four years of additional experience may substitute for a Bachelor's degree. 

 

Minimum two years supervisory experience.  Minimum two years of dedicated Ophthalmic Imaging experience.

 

Demonstrated evidence of strong written and verbal communication skills.  Excellent management skills with the ability to develop and implement strategic policies in a team-based environment. Strong working knowledge of healthcare rules and regulations including HIPAA and DNV.  Ability to make sound decisions and creatively problem solve.  Knowledgeable of front office duties and work processes. Strong patient relations skills and ability to role model to staff.  Ability to train others and effectively transfer knowledge.  Ability to prioritize and work in a fast-paced environment.  Strong leadership skills and ability to effectively delegate.  Good analytical skills and ability to manage operating budgets.  Solid knowledge of supervisory principles and practices to effectively manage and develop staff.  Complete all required update modules.  Maintain core competencies and demonstrate continuous application of these skills throughout the period of employment.

 

BLS certification through American Heart Association (AHA), provider level. 

Preferred Qualifications

Experience in key level management position in Ophthalmology, academic medicine or group practice strongly preferred.
