Description

The Executive Administrative Assistant – Mission Division will Provide administrative and operational support for a Vice President of the College; perform complex support staff duties which require high degree of decision-making and independence of action. Confidentiality is held in highest regard.

The Executive Administrative Assistant – Mission Division will manage schedules and correspondence to organizing meetings and maintaining confidentiality, taking minutes, preparing materials for presentation to the Board of Trustees, and maintaining an accurate calendar of the Vice President’s time. This position will serve as initial contact for wedding inquiries, prioritize correspondence requiring action by the Vice President, and is responsible for representing the Vice President to the general public, which includes welcoming and screening visitors and handling all phone calls appropriately and accurately with high degree of patience and courtesy.

The Executive Administrative Assistant – Mission Division will ready files and other relevant documents prior to meetings/appointments, act as the senior support staff member of the divisional staff, and initiates all appropriate paperwork such as travel requests, check requests, purchase orders, key requests, etc. This position will keep accurate and current filing system and schedules meeting space for committee meetings, and keeps abreast of relevant campus events and news.

The Executive Administrative Assistant – Mission Division will understand travel needs and makes appropriate travel arrangements for the Vice President, provide review of and assistance with division budgets including all operating, endowed and restricted accounts, and provide support for the Division for Mission, assists with special projects of the Center for Faith, Action, and Ministry and the Center for the Study of Spirituality. This position will creatively design posters for campus-wide events and works with College Marketing and Communications departments to develop other material for publication, Create and maintain the division's web pages and internal portal pages, and coordinate various programs and events.

Minimum Qualifications  

  • Education and/or experience equivalent to a  high school diploma.
  • At  least six years of increasingly responsible secretarial experience of a qualifying nature.
  • The ability to accurately and efficiently operate a personal  computer for word processing, spreadsheet and desktop publishing,  as well as familiarity with e-mail and the Internet. Budget management. 
  • Extensive knowledge of MS Office and Google Platforms
  • Exemplary planning and time management skills
  • High-level verbal and written communications skills
  • The ability to maintain positive interpersonal relationships with students, faculty, staff and the public.

Preferred Qualifications    

  • The demonstrated sensitivity to college concerns, issues and operations, especially as they related to  the issues of college students and other areas within the jurisdiction of the Vice President.
  • The  demonstrated capacity to deal with confidential and sensitive data  and exercise good judgment in handling information of this type.
  • The  demonstrated ability to  supervise administrative functions in  an independent and effective manner.
  • The ability to act as an administrative aid in areas of research, correspondence and planning. 
  • The ability to exercise judgment to determine issues that may be emergencies or high priority issues that need immediate solutions or attention versus things of lesser importance

40 Hours/ 12 Months/ Monday – Friday
