Purpose

The Senior Program Coordinator will provide reliable, executive level support and assistance to the director, interfacing with senior management, faculty, staff, fellows, students and external constituencies to further the goals of the Law and Business Program (the “Program”). They will oversee, manage, and coordinate the day-to-day activities of the Program, including a wide array of events, meetings, speeches, research and educational initiatives, and broader outreach for students and the public.

Responsibilities

  • Administrative Support and Processing
    Track and manage Program accounts, reconciling and tracking expenses, and working with the law school’s accounting team to ensure adherence to law school and university policies and procedures. Manage grant paperwork (to the extent applicable) and any external funding initiatives. Book travel as needed, processing appropriate paperwork before and after travel, including RTAs and reimbursements, in compliance with university policies and procedures. Maintain and update Program website and social media as needed.
     
  • Event Support and Management
    Serve as the liaison between the Program and other law school departments or other schools/colleges at the University. Plan and manage logistics for varied events and occasionally represent the program at meetings and events. Oversee the coordination of programmatic meetings as needed, such as symposium, conferences, and other special events hosted by faculty and the director. Act as personal contact for all visiting dignitaries, scholars, and other invited guests. Collect professional papers for events. Arrange all logistical needs, including IT, audio/visual, and catering needs. Organize all publicity for academic events, arranging for media coverage, preparing Power Point presentations, posters, flyers, and other promotional materials as needed. Maintain conference calendar and update event website.
     
  • Academic Support
    Assist the director in creating the program’s curriculum, preparing and updating course materials, managing the course sites on Canvas and the law school website, and supporting program faculty and adjuncts on their respective instructional and scholarly activities. Assist with various writing and editing projects (including speeches) as needed.
     
  • Other Related Duties as Assigned
    Miscellaneous tasks assigned by director, including executive support and communications.

Required Qualifications

Bachelor's degree and five years of administrative experience. Demonstrated ability to work independently on multiple projects and priorities while maintaining a high level of accuracy and attention to detail. Excellent verbal, written, and interpersonal communication skills. Experience with Microsoft Office Suite.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

More than required qualifications and experience. Administrative experience at the University of Texas at increasing levels of responsibility. Institutional and organizational fluency. A demonstrated history of thoughtful ownership of tasks and projects.

Salary Range

$58,000 + depending on qualifications

  • Occasional evening or weekend hours may be required. Some travel may be required.

  • On-site is the standard expectation of work location for this position. However, occasional or set hybrid-remote work may be available within university guidance, with supervisor approval, after an initial onboarding period.

Employment Eligibility:

The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
