ASHP is seeking a dedicated and experienced meeting professional with a proven track record in the area of convention planning and execution, coupled with strong marketing and communication skills. This position reports directly to the Senior Director of the Conference and Convention Division and through collaboration and effective project management, will promote and provide best-in-class meeting services, experience, and design, ensuring alignment with ASHP’s vision and goals. This position will play a key role in planning and execution of ASHP’s national meetings service areas, guiding the overall look and feel to promote consistency in branding, serve as the registration lead within the division, and develop and review internal and external division related meeting communications. Successful candidates will be initiative-taking, an effective communicator and collaborator, hands-on team player, and skilled at balancing both detailed and creative work. The ability to manage a workload and prioritize tasks in a fast-paced environment are essential to this role.  Domestic travel in the range of 4 to 6 times annually is required for this role.

 

This position will be based onsite in our Bethesda, MD office, and the employee in this role will be working in a hybrid environment, consistent with Association-wide ASHP policies applicable to HQ-based employees. At ASHP, we consider skills, experience, and organizational needs in our compensation approach. What You'll Be Doing

  • In collaboration with the Sr. Director, Conference and Convention Division, Chief Marketing Officer and Vice President, Office of Marketing and Communications, and ASHP’s general service contractor, oversees the planning and implementation of the overall design (look and feel) including informational and directional sign templates and copy, banners, special structures, etc. at ASHP national meetings to ensure the appropriate and consistent execution of the ASHP brand and meeting themes
  • In collaboration with the Sr. Director, Conference and Convention Division, Chief Marketing Officer and Vice President, Office of Marketing and Communications, and ASHP’s general service contractor, oversees the design, layout, and on- site execution of select ASHP exhibit booths and other specialty meeting service areas at ASHP national meetings
  • In consultation with the Sr. Director, Conference and Convention Division, Sr. Director, Customer Relations, ASHP’s registration management company, and ASHP’s general service contractor, oversees the design, layout, and logistics of the registration areas, including satellite registration, at ASHP’s national meetings
  • In collaboration with the Senior Director, Customer Relations and consultation with the Sr. Director, Conference and Convention Division, serves as the division liaison with ASHP’s registration management company, and participates in the development, testing, and implementation of all registration systems, including website development, design, and communication
  • Collaborating with internal stakeholders generates the ASHP national meeting’s temporary personnel schedule, contracts, and services as the on-site contact as assigned
  • Develops division meeting related print and electronic communications and publications for select ASHP products and national meetings
  • Reviews division related communication and publications for accuracy and completeness of logistical and contract-related information and content
  • Reviews and updates division and meeting related website content
  • Collaborates on the generation of various media productions at ASHP conferences and conventions, as assigned.
  • Develops PowerPoint presentations for the division
  • Provides support in exhibition management, affiliate activities, and sponsorship deliverables, as requested and assigned
  • Provides on-site support and management at ASHP meetings as assigned
  • Serves as the liaison between the Office of Marketing and Communications and the Conference and Convention Division
  • Partners with Destination Marketing Organization’s (DMO) to maximize complimentary marketing opportunities
  • Develops RFPs, creates proposal comparisons, and negotiates contracts for varied service providers as requested
  • Reviews and reconciles meeting bills and expenses as assigned in a timely manner
  • Prepares cost estimates and maintains activities within budgeted expense
  • Prepares post meeting reports and evaluations
  • Manages select projects as assigned
  • Performs other duties as assigned

What You Bring to ASHP

  • A degree plus a working knowledge of marketing concepts and best practices, meeting design, branding, and management
  • Minimum of seven years of prior related work experience
  • Prior experience in association management, meeting/convention management, and communications.
  • Excellent project management skills, time management, and organizational skills

  • Excellent written and verbal communication skills and presentation skills
  • Impeccable attention to detail and proof-reading skills, ensuring timely and accurate results
  • Creative and innovative
  • Comfortable learning modern technology
  • Highly motivated, organized, and resourceful
  • Team player
  • Proficient in Microsoft Office Suite
  • Proficient in Adobe Acrobat or related software
  • Experience with HubSpot or similar software
  • Ability to travel domestically in the range of 4 to 6 times annually
  • Graphic design experience and mastery of related computer software a plus but not required
  • CMP a plus but not required
