Facilities Management and Rental Officer (AU Retail, Hybrid) 6 Months Contract

Salary: P40,000 to P60,000 (Monthly Package)

Schedule: Monday to Friday (06:00 AM to 03:00 PM Manila Time)

What are we looking for?

Skills Required:

  • High level communication (oral and written) as this role requires regular comms with landlords, agents, retail managers and stakeholders.
  • 3+ experience within retail property sector managing rent account and facility management.
  • Diploma/College Degree
  • Knowledge of Australian market and geography is desired.
  • Motivated to support the business in its business plan and cost-reduction initiatives.

What will you do?

  • Manage and process monthly payments for 53 properties (retail and distribution centers) with accuracy.
  • Action rent reviews (CPI increases, fixed percentage adjustments) and process rent adjustments when required.
  • Ensure monthly rental tax invoices are obtained, verified against lease schedules, approved, and processed for payment.
  • Identify and resolve invoicing errors and disputes with landlords, agents, and relevant stakeholders.
  • Maintain up-to-date lease records and payment schedules to avoid discrepancies.

Facility & Maintenance Management

  • Action and manage tenancy issues from initial reporting to resolution.
  • Handle emergency repairs and maintenance efficiently, prioritizing urgent issues.
  • Coordinate with landlords, agents, and service contractors (electrical, mechanical, fire equipment, etc.) to ensure timely repairs and compliance.
  • Maintain a preventative maintenance schedule for all properties, tracking repairs through a work order system linked to invoicing.
  • Ensure compliance with property maintenance regulations within the Australian retail property environment.
  • Contribute to cost-reduction initiatives and optimize property-related expenses.

General & Administrative Responsibilities

  • Participate in property meetings, providing updates on maintenance, lease, and tenancy matters.
  • Maintain accurate records of repairs, rent adjustments, and lease terms for reference and auditing.
  • Utilize Excel, Word, Teams, and CSV files for reporting and data management.
  • Interpret facility management service contracts and ensure contract obligations are met.
  • Assist in lease administration tasks, providing general support on retail property leases.
