We’re looking for a Finance Assistant who is highly organized and tech-savvy, with a strong background in QuickBooks and a knack for improving systems. You’ll play a key role in keeping our finances running smoothly and making life easier for the team.
In this role, you will:
💼 Prepare and send invoices using QuickBooks
📊 Manage accounts receivable and accounts payable
📥 Track client payments and follow up on overdue invoices
💸 Process and pay vendor invoices on time
📝 Draft and prepare contracts for clients and vendors
📅 Schedule and coordinate meetings for the team
🗓️ Manage calendars and send invites
📎 Provide general administrative support
⏰ Working Hours: This is a full-time role with core working hours of 12pm-8pm CET (6am–2pm EST)
To excel in this role, you need:
✅ 2+ years of experience in a similar role
✅ Proficiency in QuickBooks Online and experienced in creating and processing invoices
✅ Ability to handle both credit card and bank transfer transactions in QuickBooks
✅ Comfortable with tech, automation tools, and eager to explore new ways to streamline work
✅ Someone with strong written and verbal English communication skills
Brownie points if you are:
⭐ Familiar with other tools and platforms that could enhance our tech stack
⭐ Someone with experience in admin roles related to contracts, scheduling, or travel coordination
You're someone who’s detail-oriented, loves staying organized (yes, that includes tidy Google Drives and inboxes!), and isn’t afraid to speak up or make suggestions. You’re friendly, easy to work with, and enjoy being a part of a team that values transparency, respect, and getting things done right.
What’s in it for you?
💰 Salary: $1,500–$2,000 per month*
🕒 Full-time role, fully remote
🌴 10 days paid time off
