We are looking for a Talent Coordinator to play a critical role in ensuring a seamless and efficient hiring process for our Executive Search function. You will be responsible for coordinating complex interview schedules, managing candidate logistics, and delivering an exceptional experience for senior-level candidates and internal stakeholders. Additionally, as part of the broader Talent, Diversity, and Inclusion (TDI) Team, you will provide flexible support across other TDI initiatives as needed.

About the Job

  • Own and manage end-to-end scheduling for executive-level interviews, ensuring seamless logistics across multiple time zones and geographies.
  • Act as the primary point of contact for executive candidates, providing white-glove service and ensuring a smooth experience.
  • Partner closely with Executive Search leader, hiring managers, and executive assistants to coordinate interview logistics, including travel, virtual meetings, and on-site visits.
  • Proactively troubleshoot and resolve scheduling conflicts and last-minute changes with professionalism and efficiency.
  • Maintain meticulous tracking of interview schedules, feedback timelines, and candidate progress.
  • Proven experience in administrative or recruiting support, preferably in an executive recruitment environment.
  • Provide additional assistance or coordination across broader TDI functions, including but not limited to Strategic Talent Sourcing, Early Career Programs, and Talent Development, Management and Diversity and Inclusion initiatives.
  • Provide additional administrative support to the TDI team as needed.
  • You will report to the Director of Executive Recruiting.

About You

  • 2+ years of experience in talent coordination, recruiting operations, HR, or a related field.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Exceptional attention to detail and problem-solving skills.
  • Excellent communication and interpersonal skills, with a high level of professionalism when interacting with executive-level candidates and stakeholders.
  • Proficiency with scheduling tools, applicant tracking systems (ATS), and collaboration platforms (e.g., Outlook, Google Calendar, Zoom, Slack, Workday, Greenhouse, or similar).
  • Ability to handle sensitive and confidential information with discretion.
  • A proactive mindset with the flexibility to adapt to evolving priorities and business needs.

This is a hybrid position based in our San Francisco, CA headquarters. You will be expected in office 3 days per week typically Tuesday-Thursday. Note, time in office can vary depending on business needs.

The expected starting salary range for this role is $68,900- $91,900 per yearWe may ultimately pay more or less than the posted range based on the location of the role. The amount a particular employee will earn within the salary range will be based on factors such as relevant education, qualifications, performance and business needs.
