Purpose of the Job

The Vendor Management Specialist will be responsible for supporting and maturing Truliant’s Vendor Program and processes. The Specialist will manage vendor issues to remediation, complete quality assurance functions as well as execute vendor reviews. This will include facilitating relationships with the business and vendors, providing robust and challenging insight. The role facilitates back office support for the Vendor Management process including identifying issues and subsequently assisting the business in executing an appropriate action plan. Responsibilities include assisting in maintaining the software used to manage the Vendor Management process. 

Essential Functions and Responsibilities

  • Maintains code within Vendor Management application(Application Administration) including, creation of new reports, creation of new user fields, establishing new workflow, maintaining user access levels, and uploading large amounts of data. 
  • Adheres to Vendor Management policies and procedures and supports Truliant in following these process requirements.
  • Works directly with key business leaders to facilitate vendor risk analysis and risk management processes and obtaining evidence of controls.
  • Serves as a liaison with vendors to assist with the onboarding, annual review and vendor termination process.
  • Assists line of business in creation and evaluation of Request for Proposals (RFP’s) and administering these RFP’s within the Vendor Management system.
  • Collects and analyzes vendor risk due diligence documentation.
  • Performs quality assurance on vendor assessment and remediation activities.
  • Supports preparation and execution of internal and external audits of the Vendor Management process.
  • Assists line of business in identifying & measuring vendor performance metrics such as KPI’s & SLA’s.
  • Provides support for creating and supporting vendor scorecards in order to communicate with varied audiences.
  • Assists Vendor Relationship Owners with invoice reconciliation and contract spend tracking.  Supports line of business partners with essential and critical vendors with any billing or invoicing questions.
  • Compiles and publishes negotiated savings reporting.
  • Maintains contract renewal process to allow internal partners to renegotiate or terminate contracts.
  • Assists in maintaining all Vendor Management procedures and education materials.
  • Participates and contributes to assigned projects, adhering to the Project Management Methodology of Truliant.
  • Proactively works with business units to understand how Vendor Management software/system can be leveraged across the organization to improve both employee and member experience.
  • Utilizes process mapping methodology to create and recommend process improvements from the stakeholder’s point of view, showing whether each step of the process helps create a clear value for the stakeholders.
  • Aids in documenting Vendor Management workflow.
  • Conducts quality control reviews for Vendor Management deliverables.

Knowledge, Skills, and Abilities

  • Must have a high degree of innovation with the ability to work with minimal supervision in a fast paced environment. 
  • Must be self-motivated with high degree of drive, initiative, and follow through
  • Must have advanced computer skills and proficiency in MS Excel and Outlook
  • Must have intermediate knowledge of MS Word, PowerPoint and Visio
  • Must have working technical knowledge of current systems software, protocols, and standards
  • Must be adept at reading, writing, and interpreting technical documentation and policy / procedure manuals
  • Must have excellent communication skills in English, both verbal and written
  • Must have strong interpersonal skills, with the ability to assist others in a team environment with a highly developed sense of tact and diplomacy
  • Must have the ability to define problems and develop solutions, acting collaboratively to solve problems as well as resolve spontaneous and unique situations with professionalism and service orientation
  • Must have ability to learn and understand all business processes within the Credit Union
  • Must be detailed oriented, with strong organizational skills, and have ability to effectively and efficiently manage workload and competing priorities
  • Must be able to work on multiple projects concurrently
  • Must be able to work in a general office environment
  • Should possess a strong commitment to providing excellent service to Truliant’s members

Physical Requirements

  • Must be able to sit at a desk for long periods of time and use a computer
  • Occasional standing, walking, bending, and stooping required
  • Must be able to moderately lift or move up to 5 pounds and occasionally lift or move up to 10 pounds

Education and Background

  • Undergraduate degree or equivalent experience required
  • Minimum of one (1) to three (3) years’ experience in procurement, vendor management and/or business analysis required
