Summary of Job Duties:

This position provides administrative support to the Program Director for the Diagnostic Radiology (50%) and Nuclear Medicine (50%) Residency Programs and acts as an educational coordinator between attending physicians, residents, and institutional and regulatory administrative offices. This position coordinates and administers all residency program activities and human resources functions. The GME Coordinator acts for and regularly makes decisions in the program director’s absence within prescribed limits of authority.


Qualifications:

  • Bachelor's degree in business, education, general liberal arts, or related field plus three (3) years of project management or office coordination experience or

  • High School diploma/GED plus seven (7) years of project management or office coordination experience required.

Preferred Qualifications:

  • Experience in Graduate Medical Education or Medical Education Administration, Scheduling, and/or credentialing process experience.

  • Self-motivated team player with excellent communication and organizational skills.


Additional Information:

Responsibilities:

  • Directs the workflow and supervises the necessary administrative paperwork, records, and complex filing systems to support the residency program. 
  • Collects, organizes, and maintains residency data and performance metrics. 

  • Ensures and maintains confidentiality and security of all residency files; ensures compliance with ACGME, and local GME policies (with appropriate documentation) and participates in re-accreditation processes.

  • Ensures residents maintain compliance with current licensing and institutional requirements. 

  • Performs administrative duties i.e. maintain resident files, document conference attendance, and update resident and teaching schedules. 

  • Provides requests for residency verifications, loan deferments, etc. 

  • Assists with VISA/Immigration issues. 

  • Manages New Innovations and WebADS. 

  • Assists residents with the renewal of memberships, travel preparations, reimbursements, etc. 

  • Manages and/or assists with the program’s educational fiscal budget. 

  • Reviews financial program reports. 

  • Provides high-level administrative support to the residency leadership team. 

  • Plans, develops, and maintains recruitment activities for Radiology Residents. 

  • Reviews letters and inquiries to identify appropriate candidates for the training program in accordance with the established criteria (credentials, licensures, visas, etc.).

  • Participates in the evaluation process and ranking of residency candidates. 

  • Coordinates orientation of new residents, including institutional system training and access and familiarization with institutional policies. 

  • Conducts annual updates of FREIDA survey and manages NRMP, ERAS, and GME Track.

  • Ensures that schedules comply with ACGME guidelines. 

  • Schedules program-related activities: conferences, electives, vacations, rotations, teaching courses, committee meetings, and events (retreats, orientation, graduation, etc.). 

  • Prepares and attends annual program evaluation meetings, PCO meetings, staff meetings, etc., and may record and distribute minutes as needed. 

  • Assists with departmental-level human resources functions pertaining to the residency program, including leave, travel, payroll, benefits, and other personal issues. 

  • Be familiar with the current Accreditation Council for Graduate Medical Education (ACGME) accreditation requirements and know where to find them. 

  • Designs a system to monitor change requirements. 

  • Oversees the credentialing process for initial appointment, reappointment, and termination of residents. 

  • Performs other duties as assigned.
