Engagement Coordinator

OVERVIEW

The University of St. Thomas invites qualified candidates to apply for an Engagement Coordinator (Coordinator III) position within the University Advancement department.

 

The University Advancement Team offices out of the Minneapolis Campus.  The person in this role will have the flexibility to work in a hybrid capacity, at least three days in-office on campus and two days remotely.  Work schedules will always be determined by business needs.

Salary Range: $24.00 to $25.50

 

The University of St. Thomas has provided a salary range that represents its good faith estimate of what the University may pay for the position at the time of posting. The specific salary offered will be determined based on factors such as the qualifications of the selected candidate, departmental budget, internal salary equity considerations, and available market information.

 

JOB SUMMARY

The Engagement Coordinator plays a key role in supporting alumni engagement and annual giving initiatives within the Strategic Engagement team in University Advancement. Reporting to the Director of Annual Giving, this position assists with engagement programming, donor stewardship, event coordination, and fundraising campaign execution to build lifelong relationships between the university and 120,000+ Tommie alumni.

The coordinator interacts with alumni, students, faculty, staff, volunteers, and external partners, representing the university with professionalism, courtesy, and diplomacy. This role requires strong organizational, communication, and relationship-building skills and the ability to manage multiple projects while maintaining attention to detail.

 

ESSENTIAL FUNCTIONS

  • Program Coordination & Constituent Engagement
    • Assist with the planning, implementation and promotion of initiatives and programming that foster meaningful alumni and donor engagement, including the preparation of promotional copy, communications plans/kits and coordination with the Engagement Center
    • Provide logistical and administrative support for engagement events and Alumni Engagement Board meetings. Responsibilities may include (but are not limited to) coordinating room reservations, set-up and catering requests, arranging accommodations for in-person and remote attendees, managing guest communications, and producing print materials and nametags
    • Support the nomination and award process for St. Thomas Day
    • Ensure that project and program deliverables are on time, within budget and at the required level of quality
    • Serve as liaison and primary point of contact for internal and external constituents; monitor and manage general email and voicemail inboxes, respond to questions and troubleshoot issues related to programs and registration
  • Annual Giving & Fundraising Support
    • Assist with donor stewardship and gratitude efforts, ensuring timely acknowledgement of annual donors and President’s Leadership Giving Society
    • Manage department outreach and touches for special events and milestones, such as giving anniversaries or gathering impact stories
    • Support the execution of Tommie Give Day, including on-campus engagement, coordinating with campus partners and fulfilling incentive mailings
    • Support Annual Giving pipeline development by educating the broad base of alumni, parents, students, faculty, staff and friends on the importance and impact of donors’ philanthropic support
  • Registration & Data Management
    • Prepare, capture and report on all facets of the event registration process using current systems and databases. This includes setting up, opening and closing, and maintaining the registration system
    • Maintain accurate records of alumni and donor interactions using CASE Global Alumni Engagement Metrics, ensuring data integrity in Salesforce, Banner, and related systems
    • Create and analyze reports highlighting alumni engagement and solicitation trends and metrics
    • Make recommendations for optimizing and automating data management processes and application
    • Document and maintains registration processes and procedures

Ability to work some nights and weekends

QUALIFICATIONS

Minimum Qualifications

  • High school diploma or equivalent
  • Four years of experience in program or administrative coordination
  • Experience with program coordination, event planning and data management, including data entry, analysis and reporting
  • Excellent communication skills and exceptional attention to detail
  • Demonstrated ability to build relationships, manage multiple projects simultaneously and meet deadlines
  • Able to work some nights and weekends as needed

Preferred Qualifications

  • College education
  • Higher education, development, and/or alumni engagement experience
