Global Travel and Expense Manager

The Global Travel and Expense (T&E) Manager is responsible for overseeing the company's global travel policies and expense management programs. This role ensures compliance with regional regulations and tax requirements, while aligning travel policies with broader corporate guidelines. The manager will develop and execute a strategic travel management plan that supports business goals, drives innovation, and enhances employee experience.

Key responsibilities include monitoring global travel and expense spending trends, providing actionable insights to senior leadership. The role involves leading negotiations with travel vendors to secure competitive rates, maintaining strong vendor relationships, and addressing service issues effectively. Additionally, the manager will oversee corporate travel programs, implement process optimization initiatives, and develop key performance indicators to identify trends and opportunities for cost savings.

The ideal candidate will collaborate with HR, Legal, and Finance teams, ensuring regular audits and continuous improvement of travel policies. They will leverage analytics to optimize travel practices, align them with sustainability goals, and enhance overall efficiency.

Main Responsibilities

Global Travel Policy Management.

  • Oversee the creation and implementation of global travel policies and ensure they comply with regional regulations and tax requirements.
  • Ensure regular audits are executed by the team, to measure adherence to policies and identify areas for improvement.
  • Collaborate with HR, Legal, and Finance teams to align travel policies with broader corporate guidelines.

Strategic Travel and expense program management.

  • Develop and execute the company’s global travel management strategy in alignment with business goals.
  • Drive innovation in travel programs, incorporating emerging technologies and best practices to improve employee experience and efficiency.
  • Identify opportunities to optimize travel policies and practices to align with corporate sustainability strategies.

Traveler Support and Communication

  • Provide 24/7 support for travelers to address any issues or emergencies that arise during their trips.
  • Communicate travel policy updates and important travel information to employees regularly.
  • Develop and implement risk management strategies to ensure traveler safety and security.
  • Ensure compliance with international travel regulations, including visa requirements and health advisories.
  • Provide training to employees on travel policies and expense reporting systems.
  • Conduct workshops or webinars to educate employees on best practices for travel and expense management.

Global Vendor Management

  • Lead negotiations with travel vendors, airlines, hotels, car rental providers, and travel management companies (TMCs) to secure competitive rates and preferred agreements.
  • Build and maintain strong vendor relationships to ensure high service levels and compliance with contractual obligations.
  • Monitor vendor performance and address escalations or service issues effectively.

Data mining, analysis and reporting (travel)

  • Monitor T&E global spending trends and provide actionable insights to senior leadership to increase policy adherence and expense reduction
  • Create detailed reports to track program performance, employee adherence, and vendor performance metrics.
  • Leverage analytics to identify opportunities for cost savings and process optimization.

KPI’s and process optimization

  • Oversee the corporate travel program, including booking systems, expense management platforms, and traveler safety protocols.
  • Implement initiatives to streamline processes, reduce costs, and improve efficiency.
  • Develop key performance indicators (KPIs) and analyze program data to identify trends, savings opportunities, and areas for improvement.

Qualifications

  • Bachelor’s degree in fields related to Finance or Business Administration, Accounting, Industrial Engineering, or equivalent experience required.
  • 6-8 years related experience preferred or equivalent combination of education and experience working within Shared Service Centers or Global Process Owner in T&E roles is required.
