The Office of Sustainability at West Chester University plans, promotes, coordinates, supports and assesses activities related to environmental, social, and economic sustainability on campus.

Reporting to the Director of Sustainability, this position provides administrative support for activities, projects, and programs managed by the Office of Sustainability and the Sustainability Council (SC) and its committees. As a key contributor, the Administrative Assistant helps to coordinate and execute the departmental marketing strategy using the Office of Sustainability’s email bulletin, websites, social media, digital signage, email campaigns, flyers, and brochures.

The ideal candidate will demonstrate excellent writing skills, experience updating websites and social media, customer service experience, the ability to prioritize tasks and solve problems while working independently and as part of a team; the ability to communicate effectively and professionally across a diverse population. Also, a strong interest and familiarity with the concept of environmental, social and economic sustainability.

Responsibilities include:


  • Serve as the primary point of contact for students, staff, faculty and external campus partners
  • Provide administrative, communications, and marketing support
  • Answer incoming calls
  • Maintain email accounts and respond to general inquiries
  • Prepare and audit monthly pcard statements
  • Prepare purchase orders and electronic requisitions
  • Monitor and order supplies
  • Generate and maintain reports
  • Proofread, edit and update documents, communications, and webpages
  • Assist with the coordination and execution of the Office of Sustainability’s email bulletin, websites, social media, digital signage, email campaigns, and marketing materials such as fliers and brochures
  • Schedule meetings, take meeting minutes, and distribute meeting materials
  • Assist the Director with Graduate Assistant and student intern hiring processes and student worker supervision
  • Serve as the liaison between the OoS and Chester County community organizations to plan, coordinate, market, and host collaborative events
  • Arrange catering services and room reservations for on-campus events as needed
  • Represent the Office of Sustainability at campus events
  • Process travel reimbursements
  • Open, sort, and appropriately distribute mail
  • Perform other duties as assigned

Minimum Qualifications

  • Such training may have been gained through a four-year college or university OR
  • Any equivalent combination of experience and training
  • Demonstrated proficiency in Microsoft Office including Outlook, Word, and Excel
Required Knowledge, Skills & Abilities:
  • Some knowledge of the principles and practices of public administration
  • Some knowledge of the principles of governmental accounting, statistics, and public personnel administration
  • Some knowledge of the sources of information, methods, and techniques used in administrative research
  • Ability to carry out, with some supervision, staff assignments requiring the organization of material and development of procedures
  • Ability to conduct studies and analyze contributing to the development of sound operational procedures
  • Ability to speak and write effectively
  • Ability to establish and maintain effective working relationships with administrative officials, other employees, and the general public

Preferred Qualifications

  • Demonstrated interest and familiarity with the concepts of environmental, social and economic sustainability
  • Customer service experience
  • Experience in higher education
  • Experience in a fast-paced office environment
  • Demonstrated experience utilizing Microsoft Office Suite to create complex reports and presentations
