The Corporate Strategy Group (CSG) group as part of AbbVie’s Corporate Business and Strategy Office is responsible for addressing AbbVie’s key strategy questions posed by senior leadership, we partner with leaders across the organization to identify drivers of sustainable growth and patient impact, while tracking and proactively addressing potential disrupters
Purpose: The Administrative Assistant, Corporate Strategy Group purpose is to (a) provide advanced administrative support to the Head of CSG, the Head of CSB (Corporate Strategy and Business Operations), and the Head of CSI (Competitive and Strategic Insights), and (b) lead the organization and coordination of events and activities for the overall support of CSG, CSBO, and CSI team members
Responsibilities:
- Maintains and manages calendars, including meeting and travel scheduling and domestic and international travel arrangements. This includes monitoring and prioritizing executive’s calendar highlighting shifting conflicts proactively.
- Coordinates and maintains departmental SharePoint and Teams sites.
- Maintains a database of vendors supporting CSG and coordinates with CSG team members to manage invoices and communications with vendors (e.g., submitting Shopping Carts, ACRs, Vendor Master requests)
- Follows company purchasing and other established procedures.
- Uses and understands Microsoft Office Suite and other business-specific software, including Corporate Travel website (CTE), SAP/SRM, DSP and other programs.
- Works closely with and may provide support to other functional areas within the Corporate Strategy office
- Leads the planning of the annual team offsite and ~quarterly team social events
- Coordinates new hire onboarding activities, office/cubicle moves.
- Professionally interacts with high level executives.
- Consistently handles confidential or business-sensitive information with the utmost integrity and discretion.
- May include some support for tracking budget expenditures.
- Minimum 1 year of administrative assistant related experience.
- High School diploma or equivalent.
- Experience providing support to a group head/VP level or equivalent.
- Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat, understanding of business processes and requirements.
- Self-starter able to function at a high level with general instruction.
- Demonstrated ability to navigate large organizations (with multiple layers) to successfully set up key meetings and events
- Builds strong relationships with peers and cross-functionally with partners outside of group.
- Team-oriented, can-do attitude and desire to be a contributor to overall organization.
- Learns quickly and can change course quickly.
- Open to suggestions and innovation for improvement.
