Key responsibilities include, serving as a trusted strategic advisor and counsel, managing the communications platform and internal and external communications, overseeing strategic business initiatives, process improvement, planning and managing administrative, financial, and operational activities, and creating and maintaining cross-departmental relationships to enable leadership success.RESPONSIBILITIES• Accountable for agenda, scheduling, collating presentation materials, distributing agendas and pre-reads, taking notes, ensuring meeting objectives are met, creating, and distributing meeting notes and action items and managing the cadence for key leadership meetings.• Management of master franchise calendar including VP meetings, events, and engagements. Partnership with executive assistant to strategically manage VP’s long-term travel and engagements in line with priorities.• Maintains database of contacts and distribution lists including external agency partners, vendors, and AbbVie stakeholders.• Maintains electronic files for VP and maintains automation and execution of forms and surveys for information gathering and document submission.• Responsible for budget and expense management, including managing agency budget, creating purchase orders, and reconciling invoices within scope of budget and SOW, maintaining current and accurate LBE at all times and adhering to deadlines for submission of accruals to finance department.• Accountable for overseeing the flow of internal and external communication for VP, triaging speaker requests and other inquiries, and generating internal correspondence such as invitations, announcements, etc. on behalf of the VP.• Lead the project management for internal event planning, strategic initiatives, and agency and vendor scope of work.• Streamline processes to increase efficiency and productivity.• Serve as a culture ambassador, exemplify the core values of the organization, model the behaviors that support the mission and vision of the organization, and promote the rallying cry of the Go Beyond platform.• Develops and maintains business relationships across various AbbVie functional areas.Qualifications• Bachelor’s degree• At least 5 years pharma industry experience.• Proven strategic capabilities, organization, and communication skills.• Ability to work efficiently in a matrix organization.• Effective communication, conflict resolution, organizational and leadership skills.• Ability to effectively present ideas and document complex processes in both written and oral communication.• Proven track record of anticipating and resolving problems while exhibiting judgement and a balanced, realistic understanding of issues.Additional InformationApplicable only to applicants applying to a position in any location with pay disclosure requirements under state or local law: • The compensation range described below is the range of possible base pay compensation that the Company believes in good faith it will pay for this role at the time of this posting based on the job grade for this position.
