Bucknell University seeks applicants for the role of Academic Assistant in the Freeman College of Management. The Academic Assistant provides essential support to faculty in the Accounting & Financial Management (ACFM) department and is responsible for broad oversight in administering accounting and finance programs including clerical duties, student and faculty support, advisory board support and special projects. This position may perform duties of a sensitive and confidential nature, and may supervise student workers. This position reports to the chair of ACFM and works under the coordination of the Lead Academic Assistant

Job Duties:
1. Provides administrative support and oversees the daily operations for the ACFM department, including purchasing supplies, arranging meetings and taking minutes, processing purchase orders, maintaining confidential records, assembling course materials, and preparing other program related materials.
2. Serves as the main point of contact for the ACFM department both internally and externally to the University. Demonstrates exceptional customer service skills such as tact, professionalism, teamwork and friendliness.
3. Assists with new faculty orientation and office setup.
4. Assists with faculty pre-tenure and tenure reviews including, but not limited to, coordination of student and CRC comments.
5. Provides administrative support for ACFM faculty recruitment and searches. This includes creating online job advertisements, scheduling interviews, arranging candidate visits to campus (including itinerary, overnight accommodations, etc.), and processing all materials (postings, applicant files, etc.). Serves as the liaison with Human Resources for these faculty searches.
6. Plans own workload, prioritizing key tasks, and ensures the appropriate allocation of time and effort to achieve the required results while working independently.
7. Supports the department chair in developing and implementing the departmental class schedules. Maintains updated course inventory list and assists with course catalog updates.
8. Assists with the programs' budgets, including monitoring and tracking expenses for items paid and pending payment, budget reconciliation, resolving issues, and assisting with developing budget projections, collecting information for budget development. Ensures accuracy and compliance with approved budget. Processes purchase orders, check requisitions, and travel advances.
9. In collaboration with our internal office of experiential learning, coordinates and provides support for special events for the ACFM department including conferences, field trips, case competitions, etc. Arranges student and guest speaker travel; processes honorariums. Coordinates preparation, setup and logistics for these events/functions.
10. Supports accreditation and assessment reviews.
11. Provides support for planning and executing advisory board meetings.

Freeman College of Management Specific Duties:
1. Provides support for student clubs/honor societies.
2. Handles communications with students regarding department minors.
3. Supervises the hiring process of student workers.
4. Performs other duties as assigned by the Department Chair, Associate Dean or Dean of the College.
5. Coordinates with other College administrative support staff to ensure the smooth running and adequate office coverage for the other departments and the college.

Minimum Qualifications:
High school diploma/GED and two to three years of administrative/office experience
Computer and software knowledge including word processing, spreadsheet, email and calendaring applications
Strong written and verbal communication skills
Exceptional customer service skills, strong attention to detail and ability to prioritize deadlines and successfully manage multiple priorities
Ability to handle sensitive confidential information in a responsible and appropriate manner
Proactive approach to projects, problem solving, communication needs, and planning. Must be able to work independently as well as in a team environment
Demonstrated ability to positively interact with a wide range of individuals and a commitment to diversity and inclusiveness
Ability to adapt to the ever-changing needs of an educational environment (new technology, policies, personnel, procedures, etc.) including the willingness to develop and apply new skills

Physical Demands:
Ability to lift and carry up to 25 lbs.
Must be able to remain in a stationary position for extended periods of time
Sit at a computer and use a mouse and keyboard for long periods of time
Must be able to move about the office and the campus in order to perform job-related tasks
Work in a demanding environment with multiple competing deadlines and frequent interruptions
Must be able to work occasionally on Saturdays and to occasionally travel overnight for student trips

Work Type:
This position is a full-time non-exempt, benefits-eligible, staff position.

This role is not budgeted for visa sponsorship at this time, all candidates must be authorized to work in the US at the time of submission of the application.

Salary Range:
This staff non-exempt position has a hiring range of $16 - 19.99. The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
