Job Description:
Amherst College invites applications for the Academic Department Coordinator (Film and Media Studies and Education Studies) position. The Academic Department Coordinator is a 40-hour per week (academic year), three-hour per week (summer) position, starting at $21.93 per hour - commensurate with experience. The Academic Department Coordinator (ADC) provides administrative and logistical support for the Programs in Film and Media Studies (FAMS) and Education Studies (EDST), serves as a liaison to the campus community, and ensures the efficient operation of the office. The ADC facilitates smooth administration of the program by collaborating with other offices, scheduling business, communicating with students, and supporting faculty. Assists in managing the logistics of the curriculum, student enrollment, major requirements, communications and event support, as well as budget management.
The position will be divided 25 hours/week (62.5%) to FAMS and 15 hours/week (37.5%) to EDST. There will be a regular schedule of days/half days assigned to each program, subject to periodic review.
Summary of Responsibilities:
FAMS
Administrative
Maintain calendars for Film and Media Studies
Maintain records of all students majoring in the program
Maintain records of FAMS alums and assist with alum outreach
Serve as liaison for other administrative bodies, students, advisors, and affiliated faculty
Serve as a liaison between FAMS program and Five College film studies program
Coordinate with other departments to organize the FAMS curriculum and associated coursework
Maintain and update the program’s website
Manage and coordinate the program’s web presence, social media, and other digital communications for the program
Provide clerical and program support to faculty for events, visitors and student projects
Provide support for special courses originating in FAMS
Coordinate film rentals and purchases for FAMS faculty
Coordinate program meetings and take meeting minutes
Attend staff meetings and trainings
Events (under normal conditions)
Coordinate travel and lodging arrangements for guest speakers
Plan and organize activities, special events, and receptions
Research and reserve event spaces
Coordinate catering
Design marketing materials and coordinate all publicity, both physical and digital
Organize payments for guest speakers and outside vendors
Hire and supervise student workers for event support
EDST
Administrative
Serve as departmental liaison to the College community (e.g., Registrar, Controller, Facilities, Catering)
Maintain departmental website, communication forums (i.e. social media, listservs) and departmental records
Schedule rooms for review sessions, exams, and other program activities
Create/edit listserv and social media announcements and assist with publicity arrangements for events and conferences
Attend program meetings and prepare minutes
Assist with alumni communication
Course Support
Track major deadlines/requirements, prepare catalog, and handle routine correspondence/course work preparation
Maintain up-to-date program lists of courses, majors, course enrollments, and other information
Maintain up-to-date program faculty information
Prepare course readings and obtain copyright permissions
Enter student in-class evaluation data
Arrange logistics for course-based community engagement experiences in collaboration with the Center for Community Engagement
BOTH
Financial
Perform accounting and budget maintenance for operating budgets, gifts, and special funds
Manage student employment and payroll
Process invoices, honoraria, and special payments
Qualifications:
Required
Associate's Degree or equivalent training/education
Two years of office experience, preferably in a college or university setting
Experience entering and tracking information in a database program
Excellent interpersonal, organizational, and time management skills
Possesses strong written communication skills, including proofreading to a high degree of accuracy
Accuracy and attention to detail
Sensitivity to issues of confidentiality
Able to work independently, seeking clarification as needed but completing tasks without constant close supervision
Meets deadlines without sacrificing work quality
Responds flexibly to shifting priorities and unexpected requests
Preferred
Bachelor’s Degree
Four or more years of relevant experience
Proficient in Microsoft Word and Excel programs, Google Suite, and Zoom
Familiar with Adobe Reader and Photoshop programs
Experience developing and maintaining websites
Experience working with budgets
Experience managing student workers
