Accounting Assistant

Job Summary

The Accounting Assistant performs diverse and complex accounting, customer service, and office support duties and plays a key role in the daily administration and financial operations of Harvard Forest, Harvard University’s outdoor laboratory and classroom. This position manages purchasing, accounts payable, and accounts receivable for a year-round community of 40 researchers, staff, and students. They also interact with visitors, vendors, and Harvard University central offices. This person works closely with other members of the financial team (Financial Administrator, Grants Manager, and Senior Accounting Assistant) and has a great deal of independence in carrying out specific tasks and responsibilities. The position reports to the Financial Administrator.

Position Description

  • Coding and processing a high volume of financial transactions daily including:
    • Creation of purchase orders, payments to vendors, vendor set-up
    • University card transactions review and reconciliation
    • Purchasing and maintaining office supply inventory
    • Processing reimbursements
    • Receiving miscellaneous income via credit cards, wires, cash, or checks
    • Account reconciliation
  • Maintains vendor relations and troubleshoots service and account issues
  • Serves as key source of information for Harvard Forest staff on established financial policies and procedures, advises on existing options and alternatives, and assists in problem resolution
  • Ensures careful filing of financial documents, reports and receipts
  • Provides day-to-day assistance with general office tasks such as answering phones, mail and package handling, greeting visitors, event support and other miscellaneous duties as required

This position will initially be on-site in Petersham, MA five days a week; after a successful three-month orientation and review period, the Accounting Assistant would have the option to telework one day a week.

Basic Qualifications

  • High school degree and three or more years of related experience. Accounting courses beyond high school may count towards experience.
  • Computer skills including word-processing, spreadsheet and database software knowledge and experience.

  • Proficiency in Sharepoint/Dropbox/Google and file collaboration systems
