ACCOUNTING ASSOCIATE II

JOB SUMMARY

This position provides support for accounts receivable/billing, ensuring that billing is processed in an accurate and timely manner.

DUTIES AND RESPONSIBILITIES

  • Review Accounts Receivable aging reports and report status of delinquent accounts to management.
  • Written and verbal communication with past due customers in the initial stages of the collections process.
  • Document collection efforts and initiate appropriate follow up activities on past due accounts.
  • Prepare a status report of credit and collection activity pertaining to past due accounts under area of responsibility.
  • Coordinate collection efforts with local offices and keep operating locations advised of the status of problem accounts.
  • Coordinate collection efforts with Corporate Credit and Accounting departments.
  • Prepare various manual invoices including Engineering service work, credits and rebills related to non-inventory transactions.
  • Submit customer invoices by mail, email or to various portals including Ariba, Open Invoice, Actian, and other customer specific portals.
  • Assist with IT patch testing.
  • Scan, match and accept invoices to DbCapture.
  • Review invoices for correctness and completeness.
  • Receive and match backup to invoices.
  • Works under general supervision; reports to the Accounts Receivable Manager.
  • Ability to use computers and relevant software with an intermediate use of MS Excel, MS Access and Oracle Financial Application (or other ERP software) required.
  • Performs other related tasks as needed.
  • Must be willing to work overtime as required by workload.

EDUCATION AND EXPERIENCE

High school diploma or general education degree (GED) or equivalent with at least 3 years of experience in the field or in a related area of accounting is required.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

REASONING ABILITY

Ability to apply commonsense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
