Job Description – Accounting Supervisor
An industry leader in public and private landscape/site construction throughout the Tri-State area seeks a driven, detail-oriented Accounting Manager with construction experience to join our team. This is a highly visible, prestigious role within our 50+ year old growing company.
Location: Westbury, NY
Industry: Construction
  • Banking:
    • ACH bank account review, maintain the ACH log, download PDF copies of payroll and operating checks when needed, confirm cashed checks when needed, place stop payments when needed, download monthly bank and loan statements, ACH and check exception review/approval, review & upload A/P positive pay files.
    • Monthly Payroll bank account reconciliation
    • Monthly review of all other bank account reconciliations
  • AP:
    • Support/guide A/P Administrator
    • Final review of invoices in TimberScan prior to posting in Sage 100 (accounting software)
    • Ensure invoices posted against subcontracts/PO are posted correctly and there is no overbilling, review change orders and confirm A/R billing of CO’s
    • Final review of invoices Set to Pay
    • Review and update cost codes on invoices when needed. Confirm cost code budgets with PMs as needed
    • Individual check request review, vendor statement review, resolve discrepancies
    • TimberScan maintenance and trouble-shooting, follow-up with PMs for invoice approval when needed, approve invoices on behalf of PMs when needed
  • Subcontractor retainage review and release when needed
  • Union remittance review (preparation of 1 union + as needed)
  • Communicate with unions if needed to resolve issues
  • Benefit stamp oversight and review, cross-check with weekly payroll, stamp order review
  • Update all union rate sheets, prepare special rate sheets as needed
  • Sales and Use tax – monthly submission + quarterly review and submission
  • Prepare monthly payment to 2 specific subcontractors
  • AR:
  • Support/guide A/R administrator
  • Resolve issues when needed, facilitate billing submission involving additional documents when needed
  • Resolve any issues with check scanner, communicate with the bank to increase daily check scan limits when needed
  • Insurance certificate request and submission (when needed, often handled by other team members)
  • Payroll:
  • Import file, agree with Paychex, post to GL, investigate any discrepancies.
  • Import file and post manual checks when ready.
  • Quarterly gross/net payroll comparison to Paychex.
  • Health Insurance – reconcile monthly statement against payroll withholdings.
  • Submit Certified Payroll Reports as needed if Payroll admin is behind schedule.
  • Audit support as needed – Union, financial statement and other audits as needed
  • Quarterly close:
    • Fixed asset schedules, post depreciation, review loan statements, PO/subcontractor statement final review to ensure all requisitions were recorded
  • Monitor and report on real estate entity tenants’ monthly rent payments / late rent, maintain current insurance and leases on file
  • Assist partners with various tasks as needed
  • Populate financial information for pre-qualifications as needed
Desired Qualifications:
  • 5+ years of related construction experience.
  • Bachelor’s Degree in Accounting or Finance is strongly preferred.
  • Experience with Sage 100 Contractor or similar Construction Accounting software.
  • Experience with TimberScan (or other A/P routing and approval software) and Textura is preferred.
  • Proven ability to excel in a fast-paced environment.
  • Strong organization skills with high level of detail.
  • Proven ability to meet tight deadlines and work under pressure.
  • Proven ability to oversee a small team.
  • Proficiency in Outlook, Excel and Word.
