Overview
The Administrative Assistant is responsible to answer telephones and initiate calls to obtain information. Make travel arrangements and open and distribute mail.
Keenan, an Accretive company, is an insurance brokerage and consulting firm meeting the insurance needs of hospitals, public entities and California school districts. Keenan specializes in providing consulting services in the areas of: employee benefits, workers' compensation, loss control, financial, and property & liability.
What You'll Do
- Prepare, track and update District Contracts for PLCA Agreements, fee amendments for the Account Managers.
- Prepare weekly activity report from management team.
- Prepare quarterly reports for the districts.
- Assist Senior Examiners with opening new claims, posting payments and sending invoices to municipalities.
- Manage and track hours worked for all examiners.
- Follow up on insufficient funds requiring management of holding checks.
- Management of monthly trust accounts.
- Resolution of voluminous banking issues such as lost/stolen check and funding requests.
- AB218 claims - set up claim, iVOS treaty research, IT support and funding needs creating extensive support needs for our clients.
- Coding and Reporting Needs.
- Keep track of diaries for all examiners.
- Large Loss Corridor Reports – Review and prepare for quarterly P&L meetings, run reports in iVOS reporter and write ups for claims, save as PDF files to distribute to Large Loss Committee members for their quarterly meetings.
- SAFER/GA (Great American) Reinsurers (monthly) – schedule and prepare claims for conference calls with Oakland/Torrance teams and the Reinsurers.
- Caseload Management Reports (monthly) – distribute to the Oakland/Torrance teams and update the Goal sheet.
- PLCA District Contact Directory List (weekly) – Update district contact lists received by Account Managers.
- Review and update the Claims Kit.
- Update organization charts when changes occur.
- Filing, typing, proofing and photocopying.
- Maintain calendar for assigned persons and scheduling of appointments.
- Make travel arrangements for assigned persons.
- Manage incoming/outgoing mail and circulate or handle as required.
- Prepare mass mailings and other materials for distribution as needed.
- Other duties as assigned.
What You'll Need
- Minimum of two (2) years of administrative experience required.
- Must be detailed oriented and organized.
- Excellent written and verbal communication skills.
- Strong proficiency in Microsoft Outlook, Excel, PowerPoint and Word.
- Proficient experience with Microsoft Outlook, Excel, PowerPoint and Word. Adept at accessing business data from the Internet when required.

Compensation:
The target salary range for this position is $45,000.00 to $54,000.00 (US Dollar) annually. The actual salary will vary based on applicant’s education, experience, skills, and abilities, as well as internal equity and alignment with market data. The salary may also be adjusted based on applicant’s geographic location. Hybrid work environment flexibility.
