The School of Pharmacy-Boston seeks an Administrative Assistant who provides administrative support for the program and is responsible for a broad scope of administrative support activities, which may include any of the following, as well as related tasks:
- Serves as the first point of contact for the department; greets visitors and callers
- Assists in the distribution of teaching and administrative materials to faculty
- Prepares reports, meeting minutes, correspondence from the department
- Develops and manages databases including data entry and production of reports
- Provides support for faculty and adjunct faculty within the department
- Manages inventory of department supplies; generates and tracks purchase orders
- Processes invoices for payment; tracks department expenditures
- Prepares itineraries and assists with coordination of faculty/staff/student candidate interviews
- Assists in preparing adjunct faculty appointment letters and contracts
- Assists with sorting and distribution of department mail
- Arranges and coordinates room, catering, parking requests, and other provisions for departmental meetings, events and ceremonies
- Assists in the preparation of interim reports and self-studies for accreditation
- Prepares and maintain files required by accrediting agencies; collect data to meet program accreditation-approved assessment plans; distribute surveys to employees and graduates
Required:
- Minimum of a high school required; a bachelor degree preferred
- Excellent oral and written communication skills
- Excellent organizational skills
- Excellent typing skills and proficiency in current office software including Excel, Word, Publisher, Blackboard, PowerPoint
- Ability to identify and solve problems, plan for job functions, and manage time independently
- Ability to be attentive to detail
- Ability to prioritize and manage multiple tasks simultaneously
- Ability to seek feedback and to implement solutions
- Ability to work independently to carry out projects
- Ability to learn new techniques, troubleshoot problems, and assist others as needed
