The Division of Gastroenterology and Hepatology is an active academic, research, and clinical division within the school of Medicine in the Department of Internal Medicine. This position will provide Executive and Academic Administrative Support for faculty and physicians within the Division of Gastroenterology and Hepatology.

Responsibilities
Under the general direction of the division manager, incumbent is responsible for providing executive assistant to the Division Chief and Clinical Medical Director as well as academic assistance to other division faculty. Create and maintain the annual GI Liver and the advanced endoscopy clinical on call schedules. Create monthly report for division chief with submitted GI clinic and procedure stats from several GI sites. Analyze detailed billing reports to process accurate payments to faulty for extra procedures and clinics performed. Provide excellent customer service with the ability to deal with all levels of medical and no-medical personnel within UCD/UCDH and outside agencies both in person and on the phone.
This position will also provide coordination for the annual leaves within the Division of Gastroenterology and Hepatology. Perform actions for academic personnel online or manually. Maintain medical staff credentialing for the division. This position requires excellent computer and technical skills with ability to quickly learn new programs, organization with the ability to follow directions, multitask, a good attitude, promptness, excellent attendance, initiative, follow up, team participation sound judgement in applying practices. The incumbent must display a high-level work ethic, excellent computer skills, must be a self- starter.
Required Qualifications

Must have executive support experience preferably in an academic setting or office coordinating executive calendaring, meetings and travel.
Analytical and accounting skills to review financial documents and develop financial and accounting reports.
Mathematical skills to perform calculations and check results for accuracy.
Ability to deal with all levels of medical and non-medical personnel within UCD/UCDH and outside agencies.
Demonstrates excellent and positive verbal and written communication skills. Conveys information appropriately.
Must display a high level of organization, initiative, be prompt and be a self-starter. Must be hard working and result oriented, regardless of task levels. Have the ability to maintain own momentum and self-motivation. Take directions from multiple individuals.
Skill to organize workload priorities and multitask.
Knowledge of performing all academic personnel actions including MIV.
Ability to listen to and follow directions and follow proper protocol adhering to chain of command given by incumbent’s supervisor.
Ability to learn new computer programs quickly.
Maintain positive attitude and team spirit when assigned other various duties by manager or supervisors in the division.
Knowledge of attending schedules to efficiently triage incoming calls, schedule meetings, appointments, patient requests, and ability to take accurate messages and maintain a pleasant and courteous manner.
Willingness to help our faculty members obtain this goal through daily, diligent administrative support.
Preferred Qualifications
Bachelors Degree or equivalent experience preferred.
Experience with MyInfoVault
Knowledge of the UCD Health policy and procedures for Travel, Purchasing and Accounting.
Knowledge of our school’s mission of education, research, clinical and community service.
