Penske Automotive Group, Inc., a $25B Fortune 200 global automotive retailer, announces an outstanding opportunity with its International Operations department in Bloomfield Hills, MI. The Administrative Assistant will be responsible for the direct support of the Chief Operating Officer, International Operations. This key department has an extensive number of locations in the United Kingdom, Australia and New Zealand, Europe, and Japan.
ESSENTIAL DUTIES
· Provide a high level of resourceful support and first point of contact to the Chief Operating Officer
· Monitor incoming communications, coordinating meetings and events while keeping the COO abreast of priorities, changes, and conflicts
· Assist in preparing monthly Board reports, Management reports, communication material and presentations
· Manage extensive email communication, diary, meetings, and appointments in a timely and effective manner
· Coordinate domestic/international travel and accommodation arrangements including preparation of complex agendas and Itineraries
· Provide administrative support for meetings, recording minutes, and providing supporting documentation
· Assist with outgoing and incoming mail/shipments, producing reports and collated/bound books and maintaining supplies
· Undertake business expense requirements (Concur)
· Organization and execution of documents by various in-house and external parties
· Ensure professional and friendly engagement with key stakeholders and cross functionality within the company
· Operate and maintain discretion to confidential files, ensuring they are always secure
· Coordinate external visits to business locations and/or our corporate office on behalf of the COO
REQUIRED MINIMUM CREDENTIALS
To be considered for this opportunity, candidates must have/be:
· Proven background in anticipating the needs of senior executives with a strong focus on efficiency and time management
· Proficient in the use of Microsoft Office applications. Intermediate Microsoft Excel and highly proficient PowerPoint skills are essential
· Excellent oral and written communication skills, organizational skills, and critical thinking skills
· Ability to work autonomously, prioritize work in response to unforeseen and fluctuating demands
· Accurate document and word processing skills with strong attention to detail and the ability to manage conflicting tasks in a timely manner
· Results-driven, self-motivated, dependable person who thrives in a dynamic and fast paced environment with a ‘can do attitude’
· Effective communication and people skills required to effectively interact with all levels of the organization
· Maintain discretion and confidentiality
· Ability to manage concurrent multiple tasks
· Able to prioritize and execute ad hoc requests
