Position Overview

This position will be supporting the Lulus executive and legal team and ensuring smooth operations of our Los Angeles office. As the Administrative Assistant to Lulus’ executive officers, you will be responsible for coordinating complex schedules, meetings, travel, and administrative needs, allowing the executive team to maintain focus on the business while being efficient and productive. In addition, as the Office Coordinator, you will be responsible for ensuring all visitors are welcomed and have a positive experience at the Los Angeles office. Important job duties will include event planning for quarterly Board of Directors’ meetings, preparing and sending letters and other documents, maintaining electronic files, and other assistance with sensitive documents as needed. Key measures of success will be your ability to adapt, take initiative, and be resourceful, your ability to act as a culture carrier and represent Lulus, our executive team and our Legal Department in a positive and professional light, and your ability to remain calm under pressure and resolve sometimes complex and unexpected issues.


What You’ll Do

  • Support executive officers and the Legal Department with administrative tasks, organization, and scheduling.

  • Manage and maintain multiple calendars, prioritizing appropriately and using good judgment in offering solutions to complex scheduling and meeting planning needs, with little to no supervision.

  • Coordinate complex multi-city travel itineraries, as well as logistics for Company events, conferences, and meetings, including Board of Directors meetings and office parties.

  • Prepare/format materials to support the executive team and Legal Department, such as agendas and presentation materials.

  • Create a welcoming and positive experience for all visitors to the Los Angeles office by greeting them, determining the purpose for their visit, directing them to their designated meeting location or contact.

  • Oversee Los Angeles office supplies levels and order management.

  • Sort and distribute all mail and packages.

  • Maintain visual organizational chart for Los Angeles office.

  • Assist with the sample management process, including bringing samples to the appropriate floor daily and sorting.

  • Be responsive and extremely discrete.

  • Act in a manner that is consistent with Lulus’ values, policies, procedures, and brand standards.

  • Maintains physical space, ensuring a safe, clean, and functional environment. Receives, manages, and processes work order requests; ensures problems are resolved quickly. Acts as liaison between employees and any outside contractors needed to resolve specialized problems.


What You’ll Need

  • 3 – 5 years of administrative experience.

  • Strong computer skills, proficiency with Google Suite and calendaring, and an ability to become familiar with other programs and software.

  • Excellent written and oral communication skills.

  • Strong organizational and problem-solving skills with impeccable multi-tasking abilities.

  • Command for both the fine details and the big picture, keeping priorities in the constant shuffle.

  • Polished and positive attitude, professional judgment, and strong business acumen.

  • Ability to multi-task in a fast-paced environment and to anticipate and address last-minute changes.

  • Commitment and capacity to maintain a strict level of complete confidentiality while processing confidential information.

  • Flexibility to address work issues or assist with events or meetings outside of normal work hours when needed.

  • Specific experience supporting a C-level executive or Legal Department at a high-growth company.

  • Experience planning Board of Directors meetings or other corporate events.

  • Public company, law firm, or financial services firm experience.
