The University of Indianapolis is seeking applicants for an administrative assistant for the Center for Global Engagement. This position provides critical administrative support and front-desk reception for Center for Global Engagement services in the areas of International Admission, International Student & Scholar Services, Study Abroad and Global Partnership Development.

Responsibilities- Administrative Assistant

  • Ensure consistent and professional front desk reception for Center for Global Engagement visitors including prospective students and their families.
  • Assist in the scheduling, organization and planning of programmatic events, orientations, meetings, activities and new student arrivals
  • Provide administrative and clerical support for International Admission, Study Abroad, Global Partnerships, and International Student and Scholar Services
  • Manage various database resources, completing data entry and producing various documents and reports as needed (includes admission application management in Slate, I- 20 issuance and maintenance in SEVIS and record management in Banner)
  • Assist with travel arrangements for CGE staff
  • Serve as a Notary Public
  • Perform regular credit card reconciliations for CGE staff
  • Process shipping, both domestic and international
  • Maintain information files, both electronic and in hard copy
  • Manage telephone, walk-in, and email inquiries
  • Manage and order office supplies
  • Manage, sort, and distribute incoming correspondence
  • Oversee various office operations and assist with new office strategies when appropriate
  • Other duties, including special projects, as required or assigned

Qualifications- Administrative Assistant

  • High school diploma or GED certificate required, Bachelor’s Degree preferred
  • Proficiency with Microsoft Word and Excel, copy machines, email, fax and multi-line phone system
  • Experience with Google Docs, Forms, Calendar, and Drive preferred
  • Excellent communication skills in writing, interpersonally, and on the phone
  • Exceptional organizational abilities
  • Demonstrated multi-cultural awareness and sensitivity
  • Familiarity with social media, especially Instagram, is preferred but not required
  • Must be a U.S. citizen or permanent resident in order to work within the Student and Exchange Visitor Information System (SEVIS).
