ADMINISTRATIVE ASSISTANT, CLINICAL GMP QUALITY ASSURANCE


SUMMARY:

We are seeking an individual with exceptional administrative skills to provide support to our Clinical GMP QA team. This role reports to the Executive Director, Clinical GMP QA.

RESPONSIBILITIES:

  • Responsible for administrative support for on-site, hybrid and remote employees. Duties include support for all administrative functions of a busy department with minimal routine instructions: budget tracking, calendar management, travel planning and processing expense reports for Directors and Executive Directors,
  • Assists Executive Directors in preparing presentations from source materials, setting up teleconference/video conference and coordinating interview scheduling
  • Interact with other departments i.e. facility and IT as required
  • Coordinates employee meetings, group meetings and events as directed by Executive Directors
  • Carries out administrative and record management duties as assigned such as filing, copying, scanning and compilation of large documents, uploading images to our Electronic Document Management System (Veeva System).
  • Provides support for audits / inspections performed by domestic and international health care and regulatory agencies, and corporate partners, and arranges and coordinates travel for corporate visitors (e.g., business partners, external auditors / inspectors), as needed. Performs activities including agenda preparation and scheduling, catering, and meeting planning, setup, and breakdown
  • Works on assignments from Executive Directors/Directors that are moderately difficult, requiring judgment in resolving issues or in making recommendations i.e. replacement or restructuring of office equipment, office building repairs, etc.
  • Occasionally, contribute to the clinical GMP QA group by anticipating needs of the department and supporting individuals in various ways as requested i.e. new hire onboarding, interview scheduling, ordering office supplies, stationery and computer accessories
  • Other duties as assigned

REQUIREMENTS:

  • Minimum of 3-4 years’ experience supporting multiple professionals with demanding schedules
  • Strong MS Office PowerPoint, Excel and Word document skills required. Familiarity with business applications and programs (e.g., Coupa, Concur Solutions, Conga, Adaptive, AdobeSign, etc.) are desirable
  • Ability to work independently and support a large active / hardworking team with minimal supervision
  • Excellent organizational skills, attention-to-detail and a strong work ethic under the pressure of deadlines
  • Team player who thrives in a fast-paced, dynamic environment
  • Proven ability to be productive and successful in an intense work environment
  • Strong oral and written communication
  • Strong interpersonal / people skills with the ability to interact with all levels within the organization and with external customers
  • Problem-solver with the ability to multi-task
  • Ability to take direction from Directors / Executive Directors and prioritize assignments to meet all deadlines
  • Demonstrates and upholds behaviors that are in alignment with Ionis Corporate Policies, and Culture / Core Principles. Examples include but are not limited to (1) knowing that we depend on one another, (2) striving for excellence, (3) committing ourselves to get the job done,
  • Able to work on site with a standard work schedule of 8am-5pm Monday-Friday (and occasional early / late hours as required)
  • Familiarity with scientific/technical terminology a plus
  • Prior biotech/pharmaceutical experience preferred
  • Must be able to lift up to 25 lbs.

The pay scale for this position is $17.75/hour to $28.00/hour
