The Office of Undergraduate Programs at USC's Marshall School of Business is seeking an Administrative Assistant to join its team. The Office of Undergraduate Programs provides administrative support to Marshall’s Undergraduate Programs. Undergraduate Programs consists of four teams: Undergraduate Advising and Student Affairs, Undergraduate Admissions and Outreach, Undergraduate Career Services, and Undergraduate International Programs. Marshall Undergraduate Programs serves an undergraduate population of over 4,200 majors and over 1,200 minors.
The Administrative Assistant supports the Senior Office Manager in executing all administrative operations in the Office of Undergraduate Programs, including management of the front desk of the office suite, budgeting, purchasing and procurement, space utilization and planning, and Commencement-related activities. The position reports to the Senior Office Manager.
Responsibilities and Duties
Engages in all aspects of the procurement and budget management process for the Office of Undergraduate Programs, Undergraduate Advising and Student Affairs, and Undergraduate Admissions and Outreach.
Works with the Senior Office Manager to ensure the smooth and efficient operation of the Office of Undergraduate Programs.
Works with a roster of student workers to cover the Undergraduate Programs front desk and provide high-caliber customer service to all visitors.
Supports the Senior Office Manager in liaising with departments throughout Marshall, such as Facilities, IT, and the Dean’s Office.
Works with the Senior Office Manager and the Dean’s Office to plan and execute the Undergraduate Commencement ceremony.
Supports the execution of social and team-building events for all staff in Undergraduate Programs.
Performs other duties as requested.

Minimum Qualifications
Minimum Education: Associate’s degree
Combined experience/education as substitute for minimum education
Minimum Experience: Two years
Minimum Field of Expertise: Experience in office administration
Preferred Qualifications
Preferred Education: Bachelor’s degree
Preferred Experience: Three years
Preferred Field of Expertise: Experience in office administration and budget administration in a university environment, preferably USC
Skills
Strong communication skills (interpersonal, written, verbal, presentation) and comfort working with a variety of diverse constituents including students, families, faculty, and staff.
Strong office and budget administration skills.
Demonstrated ability to manage multiple projects and responsibilities simultaneously.
Demonstrated ability to handle sensitive and confidential information within University guidelines.
Demonstrated ability to be flexible and adaptable in the face of changing priorities and fluctuating workloads.
Demonstrated experience with office management communication software and tools and proficiency with Microsoft Office.
Hiring Range:
The hourly rate range for this position is $22.01 - $27.70.
