Position: Administrative Assistant, Gorilla Glass
Location: Corning, NY
Purpose of Position:
Provide administrative support to the Glass/Specialty Materials Commercial team within Corning Gorilla Glass business. Provide additional support as a back-up floater to the other administrative staff on the Gorilla team. Support to be provided in a timely, efficient, and quality manner. This position is based in Corning, NY.
Day to Day Responsibilities:
• Extensive calendaring / meeting requests. Proactively manage and address any calendar conflicts. • Ensure Corporate, MCE and Gorilla Glass due dates and Corporate events are added to Director’s calendar and assist Director’s in meeting due dates and timelines.
- Assist Director’s with mtg prep by scheduling prep mtgs, tracking Executive mtgs/prep meetings, attendees, proofreading ppts, providing printouts etc.
- Communicate & send reminders for period reports to staff.
- Update and maintain Directors’ recurring mtgs lists.
- Schedule meeting logistics including meals, conference rooms, transportation etc. as appropriate.
- Update and maintain organization chart and distribution list.
- Assist and support Director and staff with clerical and general office duties as appropriate (i.e. ordering office supplies, recognition gifts, etc.)
- Screens calls, takes detailed messages, and prioritizes the nature of the calls
- Maintain, update, and create SharePoint/Microsoft Teams related requests. Field and grant access requests.
- Assist Director’s in meeting requirements/materials for Community Boards, Corning volunteer groups.
- Coordinate events and activities as needed (i.e. customer visits, department team building and recognition events).
- Interface with all levels of the organization.
- Communicate clearly/concisely via e-mail and text with Director’s.
- Interface with all levels of the organization.
- Assist staff members in scheduling travel.
- Coordinate extensive national and international travel itineraries for Director’s and program team members
- Assist with acquiring appropriate travel documentation including visas, passports, and invite letters for Director’s and program team members.
- Create expense reports and submit for Director’s.
- Resource for department use of Fieldglass and interface to Pro Unlimited.
- Resource for IT updates and new programs/software etc.
- Resource for domestic and international shipment via fedex and follow Corning compliance via using SRA tool.
- Maintain approval paths for- departments and projects charge #s.
- Track department and project spending on regular basis, addressing any inconsistencies
- Assist in asset inquiries.
- Assist in receiving and delivery- product samples.
- Support ordering (PeopleSoft, Tradeshift etc). Process POs in a timely manner.
- Schedule and assist Director’s with Program Communications mtgs.
- Attend MCE and Gorilla Glass Admin team mtgs. Act as information source for new administrative policies and procedures.
Travel Requirements:
Within the Corning valley
Hours of work/work schedule/flex-time:
Monday-Friday 40 hours with overtime as required
REQUIRED EDUCATION & EXPERIENCE
- HS Diploma with an Associate’s Degree or minimum 3 years Corning admin experience
- MS Office (Outlook, Word, Excel, PowerPoint, Teams), Share Point, PeopleSoft eProcurement
- Proactive, anticipate needs
- Maintain professional composure while working under tight deadlines
- Detail oriented and conscientious. make decisions and perform with little direction
- Handle confidential information and use sound judgment
- Professional appearance and behavior
- Establish, grow, and maintain positive working relationships with both internal and external customers and across the administrative team
DESIRED SKILLS:
- Knowledge of Corning internal systems and Amex travel
- Eager to take on additional responsibilities outside normal scope of position
