Job Summary
Provides varied administrative and financial support for Student Advocacy Services. Requires exercise of independent judgment, initiative, and ability to make decisions relative to office operations and university policy and procedures.

Essential Duties and Responsibilities
  • Responsible for front office coverage (walk-ins and phone), including assisting individuals, answering questions, and advising on process. Requires specialized training in Maxient software, an online records database.
  • Prepares budgets and manages accounts and financial transactions in UT Share including but not limited to procurement cards, travel, processing of payments, purchase orders and reimbursements. Manage budget transfers, payment of invoices and reconciliation of accounts including special contracts working closely with Business Affairs for approvals in software purchasing and office equipment and goods and services.
  • Coordinates travel, including authorizations and travel advance vouchers.
  • Maintains and reports employee time usage for all department employees.
  • Assist other special projects including room reservations, coordination of food, RSVPs, and other event/project logistics.
  • Performs routine secretarial and clerical tasks including organization, answering phones, filing, typing, office supplies and errands
  • Arranges meetings, coordinates calendars, and prepares agendas and other formal and confidential correspondence
  • Preparation of spreadsheets and reports including but not limited to tracking of gift reports, financial transactions, diversity report and department newsletter.
  • Recruits, hires, trains, and supervises employees for front desk. Responsible for training on customer service, office procedures, policies, and case management.
  • Serves as the primary department contact for the university’s record retention policy. Develops and ensures procedures for records are in accordance with policy. Manages a system of internal controls concerning records retention, and maintains procedures for records retention, storage, and destruction.
  • Other duties, as assigned.


Required Qualifications
Bachelor’s degree or equivalent experience.

Preferred Qualifications
Bachelor’s degree with one year upper level secretarial experience or high school with five years of increasingly responsible administrative, secretarial, and clerical experience with one year of supervisory experience.
