We’re hiring an Administrative Assistant in our Dallas Division office located in Irving, TX. This role provides administrative support to a group of fundraising directors who focus on the Dallas Heart Challenge fundraising events.


This is an office-based position that offers a hybrid schedule in a fast-paced environment.

Responsibilities:
Some of your responsibilities will include:
  • Administrative support to the Heart Challenge team including ordering supplies, handling inventory, providing data entry, running reports, and crafting marketing collateral including presentations.
  • Serve as the liaison between Heart Challenge team, communications, and events team on marketing collateral, sponsorship activation, and other details as needed.
  • Handles customer service inquiries mailbox and responds to email and phone inquiries from external customers.
  • Assist with Heart Challenge events support including planning and execution for pre-event, day-of event, and post-event.
  • Management of accounting, financing, and reporting for Heart Challenge events including processing of sponsor agreements, tracking invoices, processing mail, cash handling, processing donations, and tracking sponsor payments.
  • Adhere to budgeting best practices and track budget status.
  • Coordinates meetings, trainings, conferences, and seminars as needed for the team and external customers.
  • Other duties as assigned.

Qualifications:
  • Bachelor’s degree preferred.
  • 2+ years of experience in project management and / meeting management / and/or data management.
  • Excellent verbal and written communications skills.
  • Excellent organization and time management skills.
  • Ability to anticipate and satisfy customer needs; to work independently and take initiative; to solve problems creatively and effectively; to meet and interact with all levels of American Heart Association staff and volunteers.
  • Willing and able to travel within the assigned local territory approximately 25% of the time including attending Dallas Division events.
  • Ability to lift at least 20 lbs. from the ground to waist level.
  • Proficient in Microsoft Office including Excel, Outlook, PowerPoint, Teams, and Word.
  • Knowledge of Canva a plus.
