Administrative Assistant

This position serves as a member of the Division of Epidemiology’s Administrative Team and will assist with general administrative operations.
This role supports the division in the scheduling of meetings, processing of travel reimbursements, and purchasing of office supplies/goods. Additionally, the Administrative Assistant assists with any documentation, reporting, data entry, fact finding, or department organization projects as assigned.
The successful candidate will have the ability to exercise good judgment in a variety of situations, strong written and verbal communication, administrative, time-management and organizational skills, social and emotional intelligence, and the ability to triage and manage multiple priorities and projects. The successful candidate will be a detail-oriented self-starter with a strong work ethic and customer service orientation, will possess superior scheduling and organizational skills, will display the ability to work independently on projects from conception to completion, and will be able to meet deadlines. A successful candidate must have operational knowledge of Microsoft Office and related computer software including, Outlook, Power Point and Word/Excel.

Responsibilities
Essential Functions
  • Provides administrative support to upper-level management/faculty members by scheduling appointments, coordinating meetings and conferences, and creating/distributing agendas and/or meeting minutes.
  • Maintains and orders office supplies/goods in alignment with departmental budgeting and general purchasing processes.
  • Manages administrative needs of University travel for division staff; serves as travel arranger and is responsible for reconciling accounts and preparing expenditure statements for trips in Concur.
  • Maintains exceptional level of professionalism and discretion in managing a variety of complex administrative issues, communications, and interactions.
  • Coordinates details such as purchasing activities, document control, account coding for financial transactions and overseeing the maintenance of departmental records.
  • Supports the division in the organization and completion of ad-hoc documentation, data entry, reporting, fact finding, and various organization projects as assigned.

Problem Solving
This position is responsible for solving office problems such as payroll or accounts payable issues, solving staff, faculty and student problems or directing them to someone whom can and supervisory and personnel issues. Plans and expedites the flow of work while ensuring the smooth operation of the office under the pressure of frequent interruptions and changes in priorities.

Minimum Qualifications
Associate degree in business or equivalency (one year of education can be substituted for two years of related work experience) and three years full-time secretarial experience required. Demonstrated human relations and effective written and verbal communication skills required. Knowledge of basic bookkeeping practices and direct supervisory experience preferred.
