Administrative Assistant | Atlanta Regional Office

The Administrative Assistant reports to a SVP and supports the Investment team, which is responsible for managing and integrating new acquisitions, dispositions, developments, and lease-up properties. In this fast-paced role you will actively collaborate with other team members throughout the organization. This role requires initiative, customer service skills, a strong sense of urgency and the ability to work independently on assignments. The right candidate will be action oriented and will be able to successfully juggle multiple requests and tasks. The candidate will also be highly detail-oriented and demonstrate strong communication skills while maintaining flexibility and composure. A high level of integrity and professionalism in dealing with senior professionals both inside and outside the company is critical.

Duties and Responsibilities:
Effectively and proactively support designated Investment team members.
Create and review presentation materials for internal and external use.
Prepare and process invoices and expense reports as needed. Processes and submits approved invoices to Accounts Payable for payment.
Assist with occasional event coordination.
Coordinate schedules, travel arrangements, and meeting logistics such as food service or video conferencing for internal and external meetings
Organize, prioritize, and effectively handle time-sensitive, confidential information and ensure the action required is addressed in a timely manner
Receive and screen phone calls and other communication to appropriate individual(s) for action or response.
Maintain physical and electronic files. May coordinate and/or maintain confidential documentation such as contracts, agreements, or other proprietary information or data.
Manage office supplies and services as needed.
Performs other related duties as assigned to meet the needs of the business.

Basic Qualifications:
3-5 years of administrative support experience for a department and/or reporting to senior level managers.
Proficiency in Microsoft Office applications with a strong emphasis on Microsoft Power Point and presentation creation .
Experience with travel coordination, including flight arrangements, rental vehicles and hotel and meeting accommodations.
Impeccable attention to detail.
Ability to prioritize and handle multiple assignments while maintaining commitment to deadlines.
Strong organizational and problem-solving skills with a team-oriented philosophy.
Ability to communicate effectively with a variety of groups such as senior management, property teams, peers, vendors, and outside consultants.
Highly motivated, organized individual who can work effectively with minimal supervision.
Ability to build a strong internal network.
Ability to maintain confidentiality and maintain appropriate discretion.
Ability to handle shifting priorities, frequent changes, and maintain composure.
Ability to learn organizational structure and assess team objectives.

Required Qualifications
High school diploma/GED and 3-5 years of administrative support experience required, or an equivalent combination of education and experience.

Preferred Qualifications
Bachelor’s degree preferred
Executive or administrative support experience for a department and/or multiple managers preferred.
Skill in applying critical thinking, analysis, and creative problem-solving methods .
Bookkeeping and/or budgeting experience preferred.
Desire and aptitude for learning new concepts on the job.

While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
