Administrative Assistant - PEP

Position Purpose
To provide administrative support to the Director and PEP faculty including event planning, curricular support, financial monitoring, and communications support and to coordinate activities that will increase efficiency, expedite/coordinate the work of others, and ensure smooth operation.

This position will provide administrative support to the Director and Political Economy Project (PEP) faculty.

Associates plus 1-2 year(s) of experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities
Education
Associate’s degree or the equivalent.

Experience
One to two years of office experience in a related field, with a high degree of autonomy.

Skills & Knowledge
In-depth knowledge of office procedures
Attention to detail.
Budgeting experience.
Strong organizational and planning skills and ability to set priorities.
Highly proficient with computer applications (Excel, Work, Outlook).
Excellent communication and interpersonal skills.
Initiative, sound judgment and ability to work independently.
Ability to maintain confidentiality.
Experience working in a cooperative and diverse community.

Preferred Qualifications
Graphic skills.

Key Accountabilities

Description
Event Planning:
  • Works with the Co-Directors and Program Director to coordinate and support events (conferences, dinners, luncheons, retreats, etc.) including locating and reserving facility space, arranging for the necessary services, coordinating schedules, guests’ travel, poster preparation and publicity as directed by organizers.
  • Corresponds with visitors to arrange travel reservations and reimbursements.
  • Maintains an event calendar.
  • Coordinates with other offices and departments to arrange co-sponsorship of events.
  • Prepares event collateral including invitations, programs, name badges, registration sheets, and necessary briefing information.
  • Communicates relevant event specifications and instructions to College offices/departments and outside suppliers providing event support and follows up on their implementation.
  • Coordinates services provided by supporting departments such as FO&M, Hanover Inn, Classroom Technology Services, and others to ensure plans and instructions are implemented on schedule and on budget.

Financial
  • Administers expenditures, tracks budgets, and maintains accurate financial records and reports.
  • Prepares annual budget and oversees year end close process.
  • Reports regularly to the Director on available financial resources.
  • Arranges for stipends and honoraria for visitors. Corresponds with visitors to ensure reimbursements are made in accordance with policy and in a timely manner.
  • Reconciles expenditures including payroll expense to projected costs.

Curricular Support
  • Assist Co-Directors in preparing academic appointments (lecturers) and work with department administrators in relevant departments (Government, Philosophy, History, Economics) to prepare course descriptions.
  • Assist lecturers and affiliates with course administration – especially inviting guests, event planning, and preparing reimbursement requests.

Description
General Office Support
  • Interacts internal and external constituents and staff members and conveys information on behalf of the Director. Responds to inquiries.
  • Drafts and proofreads memos, minutes, forms and correspondence for Director review and signature.
  • Coordinates and schedules a variety of activities to support office functions and meetings.
  • Supports the office’s mission to foster inclusiveness and diversity.
