Administrative Assistant - Procurement (On-site)

The Procurement Administrator will work with the Procurement team to support various functions that are key to the success of the Procurement department and Bastian Solutions. This person will be responsible for executing the day-to-day tasks of qualifying new vendors and creating vendor accounts. As well as continuing to improve the new vendor qualification process by gathering input from key internal customers that utilize this process. The Procurement Administrator will also act as the liaison for the Travel and Entertainment vendors along with our Office Supplies vendors.

Other responsibilities include assisting in the creation of vendor scorecards, setting up vendor Quarterly Business Reviews and other reporting needs. This is a great opportunity to truly make a positive impact for the Procurement team and Bastian Solutions.

Job Functions

  • Administrator of the vendor qualification process
  • Send out prequalification packets and request required documents from potential new vendors
  • Evaluate and grade vendor responses and obtain approvals to add vendors that pass company criteria
  • Create vendor accounts in ERP system using information obtained during new vendor add process
  • Perform independent direct verification when appropriate to validate sensitive changes to the vendor master data
  • Create new employee accounts in ERP system
  • Help to continuously improve Procurement process and procedures around vendor qualification
  • Define category codes for vendors in ERP system
  • Work with Purchasing Specialists to develop vendor scorecards and setup Quarterly Business Reviews with key vendors
  • Help develop various standard and ad hoc reports to support Procurement team
  • Liaison for Bastian travel management companies Enterprise, National, Drury and Concur
  • Support Bastian account for visa/passport assistance
  • Assist in negotiating corporate rates with hotels, rental car companies, Amazon Business Account and office/break room supplies
  • Back up support for when the front desk receptionist is out of the office
  • Develop strong internal customer and external vendor relationships

Travel Requirements

  • Very little travel required <5%, if any

Preferred Skills and Required Qualifications

  • Must be eligible to work in the USA long term without sponsorship
  • Minimum of Associate degree; preferred Bachelors degree. Preferred focus on the following business segments: Procurement, Supply Chain Management, Business Administration, Economics, Logistics, Finance or Accounting
  • 1-5 Years of administrator experience
  • Detail oriented with excellent organizational skills
  • Excellent written and verbal communication skills
  • Computer proficiency: MS Office Suite
  • Familiarity with ERP software such as MS AX, SAP or Oracle
  • Ability to walk warehouse / manufacturing sites as needed

Pay: $45,000.00 - $55,000.00 per year
