Reports to: Sr. VP, Engineering, Manufacturing and Supply Chain

Flex Work Eligible! This position qualifies for the Flexible Work Policy. Employees receive 50 work days annually to work remote! The initial amount of days is prorated for the first year based on start date.

GENERAL DESCRIPTION / PURPOSE:

Provides general administrative support to the Manufacturing and Supply Chain Department.

ESSENTIAL JOB FUNCTIONS:

Functional & Technical Skills

  • Compile and record KPI data and monthly reporting. Compose and prepare information for leadership and executive presentations
  • Facilitate contract personnel requisitions; reconcile time cards, emailing vendor, reconciling invoice to purchase order
  • Maintain inventory, order department office supplies and safety PPE
  • Strong organizational, time management and problem-solving skills with the ability to work under high-stress situations
  • Compose and type general correspondence, inter office memo’s, e-mails. Deliver professional correspondence to internal and external customers.

  • Take minutes and participate in meetings as needed
  • Compose, type and release of all new/updated ISO Quality Controlled Documents.
  • Process project-related forms, including change orders, project authorizations, etc. Compiles project hours monthly for all active projects and create reports.

Customer Interaction/Management/Support

  • Process all department invoices
  • Assist with budget preparation, department presentations
  • Perform general administrative duties for Manufacturing and Supply Chain department
  • Lead and/or assist with projects as assigned
  • Coordinate and prepare materials for department meetings and customer/supplier visits
  • Schedule/coordinate travel arrangements for departments, customers and suppliers
  • Field customer queries and concerns and direct them to the appropriate person
  • Assist and coordinate with the onboarding process for shop and warehouse employees

REQUIRED QUALIFICATIONS:

Education: High School Diploma or GED

Experience: 3+ years’ experience working with Microsoft Office Suite (PowerPoint, Excel, Word). Excellent verbal and written communication and presentation skills and strong time management and project management skills.

Knowledge, Skills and Abilities:

  • Knowledge of computers and software with good word processing skills using Microsoft applications.
  • Ability to handle multiple concurrent tasks and projects.
  • Effective oral and written communication skills.
  • Strong keyboard skills.

PREFERRED QUALIFICATIONS:

Education: Associates Degree

Experience: Working experience with IFS and Microsoft Visio.
