CAMFS, the largest independent fleet maintenance company in the country, is currently hiring a Administrative Assistant As an Administrative Assistant, you will provide a positive impression of the company through courteous and efficient handling of switchboard operations and reception desk; To provide clerical and administrative support to branch personnel.
Duties & Responsibilities:
- Answer and direct incoming, outgoing, and inter-office calls of multi-line phone system in a timely and professional manner. Relay messages promptly as received.
- Answer inquiries and obtain information for the general public (e.g., customers, visitors). Provide information regarding activities conducted at Trudell such as location of departments, offices, and employees within the organization.
- Establish and maintain friendly, yet professional relations with suppliers, customers, and co-workers.
- Balancing of Petty Cash and or Parts/Service cash drawer as needed by location.
- Coordinate restocking of refreshment refrigerator for guests.
- Open, date stamp, and distribute incoming daily correspondence to appropriate mailboxes within guidelines set.
- Collect, bundle, and ready for pickup outgoing mail within guidelines of mail service contract.
- Order and inventory adequate office supplies and forms.
- Provide clerical support within deadlines agreed upon for sales, service, parts departments.
- Rental duties such as interacting with rental customers and obtaining credit applications, printing rental contracts, obtaining insurance certificates, obtaining monthly mileage readings from customers, and rental invoicing.
- Sales duties such as interacting with sales customers, sales invoicing and printing, titling, and licensing.
- Coordinate restocking of refreshment refrigerator for guests.
- Other duties as assigned.
Requirements
- High School Diploma or GED required
- Previous experience working in an office environment with multi-line phone systems.
- Proficient at a basic level with Microsoft Office software, specifically Excel and Word.
- Strong interpersonal skills to develop business relationships at all levels within an organization.
- Excellent time management and self-motivation skills.
