Our Herndon, VA office is looking for an Administrative Assistant who embodies this purpose.
What You'll Do:
As an Administrative Assistant, you will:
- Become the backbone of an energetic engineering team that can’t live without you
- Prepare proposals, from draft to client-ready
- Format, review and edit letters, reports, and all other correspondence
- Assist managers with project status updates
- Process monthly Amex and expense reports in Concur and Vantagepoint
- Use accounting software to lookup project invoices
- File project documents and track tasks
- Complete Contract Data Sheets
- Assist with submissions to outside agencies (production of reports, collecting materials to prepare for submissions)
- Develop relationships with key internal contacts
- Plan and handle logistics for conferences, meetings, and events, including agenda creation, meeting minutes, capturing action items, etc.
- Calendar management and coordination of travel logistics
- Assist with preparing Map Packages and or Site Photo Package
- Format, Print & Assemble Site Plans/Reports, etc, for Submissions
- Transmit Correspondence through NewForma
- Calculate Application /Escrow Fees, Request Checks for Submissions / Request checks from Accounting for Agency applications, etc.
- Use Project Manager Dashboard to track AR Payments/follow up with client for payment status
- Perform other duties as assigned
- Be the driving force behind efficient project coordination to meet project deadlines in a fun, fast-paced environment

What You'll Need:
- 3+ years of experience supporting management level
- High School Diploma or GED required, Associates/Bachelor’s degree a plus
- Proficiency with MS Office (Word, Excel, Outlook). Knowledge of Concur and CRM a plus
- Strong verbal and written communication skills, including excellent spelling, grammar and proof-reading skills
- Experience with technical writing (transcribing, formatting technical reports & letters)
- Knowledge of state agencies, county and local municipality planning and zoning procedures a plus
- Working knowledge of financial coding and client billing process a plus
- Ability to handle confidential documents and information with discretion and in a professional manner
- Self-starter with strong multi-tasking, time management and follow-up skills. Proactive approach and ability to prioritize
- Strong attention to detail while maintaining consistent work flow and meeting deadlines
- Ability to work independently as well as part of a team
- Excellent customer service skills to represent the organization with clients, affiliates and outside agencies and to efficiently obtain needed information
