Administrative Assistant - UTPD

Administrative Assistant for police quartermaster/training unit:

  • Assist in the preparation of regularly scheduled reports
  • Complete filing and record submissions when required
  • Assist in scheduling for the training department
  • Ensure proper operation of equipment by completing preventive maintenance checks; example-AED pads not expired
  • Filing, typing, copying, binding, and scanning documents
  • Assist with quartermaster inventory tracking and replenishment of inventory
  • Maintain computerized and manual filing systems
  • Provides general customer service in administrative division
  • Answers phones and respond to email inquires
  • Prepares correspondence
  • Creates and manage appointments
  • Compiles documents and reports
  • Take accurate minutes of meetings
  • Works with confidential and time sensitive information
  • Works with departments internal and external to the University
  • Responds to requests and follows up with others on behalf of supervisor
  • Provide polite and professional communication
  • Implement administrative processes to organize and streamline unit
  • Conduct data entry
  • Assist with managing fleet by coordinating appointments and vehicle pickups
  • Maintain employee uniform closet
  • Work with UTPD business manager concerning purchase requests, invoices, etc.

Accreditation Unit Administrative Support:

  • Provide administrative support for accreditation or other units at UTPD
  • Support may include assisting with tasks for accreditation assessments
  • Compiling proofs
  • Contribute to team effort by assisting other departments/units when needed
  • Other duties as assigned Statistical reporting

Hours

Standard administrative hours, typically 8 am – 5 pm.


Process

Candidates should complete an online application with the UT Office of Human Resources. A committee will review applications and conduct interviews for the position. Committee recommendations will be forwarded to the Chief of Police. The Chief of Police may conduct final interviews. The Chief of Police or designee will select the applicant for this position.
