RESPONSIBILITIES
Document and Data Management:
-
Assists the staff in maintaining updated documentation on various platforms: Workday, OpenText, PlantDoc/SiteDoc, etc.
-
Compiling organizing, and presenting production and supply chain metrics and KPIs
-
Tracking and reporting status of recommendations from audits and PHAs
-
Organizes and leads periodic reviews of Ester platform data (IMs, MOCs, JSRs, NCRs). Follows up on related action items.

Serves as a gatekeeper and administrator for various digital platforms: Teams, GoPlant, Ester, Aspen, OpenText, etc.
Organization:
-
Supports the team with compiling data for meetings. Assists with preparation, compiling, and transmittal of reports to internal and external stakeholders

Assists the production and supply chain teams with month and year-end closure duties
-
Serves as a meeting and workshop facilitator, supports these activities as needed.

Responsible for compiling and distributing meeting minutes and agendas
-
Manages IT user access and equipment for third party terminals and warehouses.
Administrative Support:
-
Provides general administrative support for the production and supply chain departments: event planning and organization, travel arrangements, expense report support, arranging meeting logistics for visitors, etc.

Maintains and updates emergency information: list of contacts and procedures
-
Manages the departments’ master list of key dates such as critical due dates, PHA revalidation dates, audit dates
-
Maintains up-to-date file and information sharing platforms (Teams, Sharepoint, Evonik TV, Power BI, PowerApps). Oversees and manages content.
Building and Procurement support
-
Issues Purchases Requisitions and manages outline agreements (OA’s) and vendors as needed.

Single point of contact (SPOC) for third-party vendors and contractors (food and beverage providers, pest control, custodial, catering).
-
Assists operations and technical staff with adding vendors to SAP and participates in bidding process for vendors for department.
-
Manages supplies includes using Ariba and SAP PO’s. Supports production, supply chain, laboratory, and tank farm areas with material and supplies orders.

Oversees parts shipping for the Supply Chain Group

Creates SAP notifications and work orders as requested
-
Compiles monthly/semi-annual/annual spending reports
REQUIREMENTS
-
Two Year Degree from accredited School/University in related field preferred.
-
Minimum of five to seven years office experience preferred.
-
Exceptional interpersonal skills. Must be able to relate in a professional manner to co-workers and outside contacts in person and by telephone and/or written correspondence.

Excellent good organization skills and be a self-starter.
-
Possess advanced or Intermediate skill level in Computer Based-Programs (Microsoft Word, PowerPoint, OneNote, Excel, Microsoft Teams, SharePoint, Open Text, Ariba, SAP)
