Position Summary/Purpose of Position:
The University of Maryland, one of the nation’s premier research universities, seeks a highly organized professional who enjoys handling a high volume and variety of daily tasks to join the Office of the Vice President for Administration (VPA). Reporting to the Assistant VP and Chief of Staff, the Administrative Coordinator assists with division-wide initiatives, including communication and strategic initiatives, and provides administrative and project support for the VPA office, various committees, and projects.
The ideal candidate will be an exceptional communicator with high customer service standards and excellent problem-solving skills, as well as collaborative and able to interact effectively with people throughout the workplace.
Specific responsibilities include:
  • Provide administrative and business support for the Assistant VP & Chief of Staff (AVP/CoS), VP and other Administration executive staff as needed. Will include topic research, preparing, analyzing and maintaining a variety of records, reports, documents and presentations, planning meetings/events. Participate in office goal and strategy development, planning and administrative unit reviews, and general office support.
  • Support divisional events, workgroups on specific projects and related responsibilities. Will include project management, topic research, preparing reports/presentations/communications, conducting surveys/focus groups and other related activities.
  • Work closely with AVP/CoS on division-level communications; includes creating and managing web content. Communicates with units as appropriate to share relevant information and issue reminders, including administrative deadlines. Maintain a master calendar of events and deadlines for the VPA.
  • Hire and supervise student workers throughout the year to provide administrative and project support to the Office of the VPA.
  • Provide exceptional customer service to individuals seeking assistance from the VP’s office. Includes receiving and screening calls and visitors, scheduling meetings, ordering supplies and maintaining conference room schedules and appearance. Use independent judgment on actions to be escalated to the AVP/CoS and Vice President. Understand and follow all university policies. Perform other duties as needed.

Minimum Qualifications:
Education:
Bachelor’s degree from an accredited college/university.

Experience:
A minimum of two (2) years experience (with a degree) or six (6) years experience (without a degree) of administrative or relevant work experience.
Knowledge, Skills, and Abilities:
  • High degree of attention to detail and deadlines.
  • Highly organized, enjoy prioritizing and handling a high volume and variety of daily tasks.
  • Exceptional communication and customer service standards, excellent problem-solving skills.
  • Collaborative and able to interact effectively with all constituencies.
  • Ability to work successfully in a fast-paced, multi-tasked environment, think proactively and work independently and in a team environment.
  • Proficient in the use of MS Office applications (e.g. Word, Excel, and PowerPoint), Gmail, GSuite (Docs, Sheets, Slides), and Adobe Acrobat.
  • Dependable and handle confidential data with discretion and tact.

Preferences:
Preferences:
  • Three or more years of work experience.
  • Experience in event planning, project management, and/or process improvement.
  • Experience in a customer service role.
  • Proficiency in project management, process improvement, and data analysis.
  • Experience with reporting and data analysis tools, Adobe Creative Suite, Drupal content management, and HTML.
