Administrative Assistant

We are hiring for a Part-time position! We are looking for an Administrative Assistant to join our team. This position location is in Kirkland, WA and reports to our Vice-President Business Operations.

The Administrative Assistant is responsible for supporting staff in all administrative capacities. Typical duties and essential functions will include but not be limited to the preparation, modification, coordination, and/or review of the following contributions below.

How will you contribute to the team?

  • Administer building access and alarm.
  • Coordinate Lunch & Learns and company events.
  • Maintain filing and project closeout / storage.
  • Order office supplies.
  • Manage incoming and outgoing packages (FedEx/UPS).
  • Collect & distribute incoming & outgoing mail.
  • Conference room and kitchen housekeeping.
  • Process miscellaneous Purchase Orders.
  • Generate internal purchase orders.
  • General data entry / word processing / office support.
  • Order employee business cards.
  • Provide New Hire packages and general office orientation.
  • Manage Certificate of Insurance requests with the Corporate Insurance Department.
  • Manage insurance certificate tracking and administration at the project level.
  • Proofread / format / assemble monthly reports.
  • Update & manage corporate resume database.
  • Convert resumes to SNC-Lavalin format.
  • Update and maintain database of PE Licenses.
  • Monitor and assist in update of corporate licenses.
  • Upload & manage corporate project fact sheet database and coordinate & write project fact sheets.
  • Organize registrations for trade shows, ISPE, or other events & order any necessary booths or promotional materials. (Done in coordination with Corporate Marketing Dept.).
  • Support and assist with document control tasks as required.
  • Proofread and assemble client Contracts as required.
  • Manage and maintain filing of client Contracts.
  • Manage and maintain approved engineering specifications, guidelines, and work instructions.

What will you contribute?

  • Must have at least 2-5yrs of Administrative experience.
  • Must have the communication skills necessary to effectively communicate with co-workers.
  • Must be skilled in the Microsoft Office Package.
  • Must have familiarity with database software.
  • Position demands an individual who is detail oriented, has an ability to focus, can prioritize projects and can handle multiple tasks and deadlines in a fast-paced environment.
  • Education – Associates or bachelor’s degree Preferred.

Pay Range $25hr - $29hr
