About the Opportunity
JOB SUMMARY
Reporting to the Director of Public Safety, the Administrative Scheduling Coordinator is responsible for key management & distribution, departmental training coordination, and departmental scheduling. This position includes both a public-facing component, as well as internal record and data management.
The Administrative Scheduling Coordinator will also serve as a backup for the office manager to ensure that the Public Safety walk-in center is fully staffed during operational hours. Additional shift hours and responsibilities may be required during particular times of year such as commencement, move-in/out, and other major university events. Additional shift hours and responsibilities may be required during major unexpected university incidents.
MINIMUM QUALIFICATIONS
Reliability, diligence and punctuality. Efficient time management techniques & strong organizational skills. Strong interpersonal and communication skills. Ability to multi-task and prioritize responsibilities.
Ability to express oneself clearly and concisely, orally and in writing. Strong computer skills, typing skills, and ability to learn new software. Team and goal oriented. Ability to exercise discretion and tact in handling confidential information.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
1) Departmental Scheduling (50%)
The Department of Public Safety is a 24/7 operation with numerous officers and responsibilities. This position will be required to monitor the schedule on a daily basis to ensure that all shifts are filled. A requirement of this position will be to maintain a calendar of university events to ensure that all major events have appropriate staffing levels. This position will also monitor detail and overtime requests and schedule appropriately. Some afterhours and weekend monitoring and schedule adjustments will be required.
2) Training Coordination (30%):
The Department of Public Safety continues to expand upon various training requirements. This position will be responsible for the identification of vendors, scheduling of officers, invoicing, and the maintenance of all department training records.
3) Key Management (20%): The Department of Public Safety is currently responsible for all non-residential key distribution and tracking. This is a public facing position that will monitor the approval, request, distribution, and tracking of all building keys.
4) Serve as a backup for the office manager position, to ensure that the Public Safety walk-in center is fully staffed during operational hours.
The expected hiring range is $31,42/hour to $40.00/hour based on the position's responsibilities and scope.
