Information Technology & Facilities Manager

This role is 5 days a week onsite in our NY office with some travel.

Aescape is the NY-based lifestyle robotics company redefining self-care. We're looking for a "hands-on" Information Technology Facilities Manager who can oversee our technology and office infrastructure across multiple global retail locations. This role requires a combination of technical expertise, strong leadership skills, and a passion for ensuring a seamless and productive work environment for our growing team.

You’ll be collaborating cross functionally with Engineering and Facilities, and Retail Operations as we create a new wellness through AI and Robotics. This is an amazing opportunity for you to own the IT and Facilities at an early stage start-up and align your career goals with Aescape's aspirations as we revolutionize the massage therapy industry. If this sounds like you, we’d love to hear from you!

We announced the world's first commercially available, fully automated AI-powered massage experience with Equinox in March — and this is only the beginning. We are in a period of rapid growth, launching our category-transforming product throughout 2024 with global leaders in hospitality, wellness, sports and fitness.  Publications like WIRED, Fast Company, Popular Science, Sports Business Journal, Fortune and Now This News have covered our news, with remarkable enthusiasm.

Backed by $85M in funding from investors like Valor Equity Partners (an early investor in Tesla and SpaceX), we've assembled a team of top talent across connected hardware and fitness from industry giants like Amazon, Apple, Peloton, Tonal, Uber, The New York Knicks, and more to bring people and robotics together for better living.

What You’ll Do

IT Management:

  • Hardware and Software Provisioning:

    • Oversee the procurement, configuration, and deployment of hardware and software across all locations, ensuring timely delivery and optimal functionality.

    • Device Management: Implement efficient processes for issuing and retrieving laptops, ensuring proper inventory control and asset tracking.

    • Network Infrastructure: Establish and maintain reliable Wi-Fi connectivity in all offices and retail locations, ensuring secure access for employees and customers.

    • Security: Develop and enforce robust security measures to protect sensitive company data and prevent unauthorized access.

    • Ticketing System: Design and manage an efficient Jira ticketing system to track and resolve IT issues promptly, prioritizing end-user support and network troubleshooting.

    • HRIS Integrations: Manage and troubleshoot HRIS integrations, ensuring seamless data flow between systems.

    • Technical Support: Provide hands-on technical support to end-users, troubleshooting hardware and software issues and ensuring minimal downtime.

  • Facilities Management:

    • Budget Management: Develop and manage budgets for IT and facilities operations, identifying cost-saving opportunities and ensuring efficient resource allocation.

    • Controlled Physical Access – deploying security checks and access control mechanisms for restricting physical access only to the authorized persons

    • Facility Monitoring with Alarms - auto alarming system to be placed for monitoring all the above-mentioned facilities

    • Safety & Compliance - ensure maintenance and periodic testing of elevators, smoke detectors, and the availability of fire extinguisher systems throughout all premises

    • Office Management: Oversee the office management staff for the New York headquarters office, ensuring a clean, safe, and productive environment.

    • Vendor Management: Manage relationships with external vendors for cleaning services, office supplies, equipment maintenance, and other facility-related needs.

    • Expansion Planning: Collaborate with Retail Division operations leadership to plan and execute the opening of new retail locations, ensuring efficient setup of IT infrastructure and office spaces.

  • Leadership:

    • Team Management: Manage and develop a small team of IT and office staff, providing guidance, mentorship, and performance feedback.

    • Collaboration: Foster strong relationships with cross-functional teams, collaborating on projects to meet company-wide objectives.

    • Communication: Effectively communicate technical information to non-technical stakeholders, ensuring alignment and understanding

What You’ll Bring

  • Bachelor's degree in Computer Science, Information Technology, or a related field

  • 5+ years of experience in Information Technology management with strong knowledge of IT best practices and policies, 2+ years managing or leading small teams

  • Experience managing IT infrastructure across multiple locations with hands-on technical skills in hardware, software, networking, and security

  • Experience managing diverse endpoints (Windows, Mac, Linux), ideally within a zero-trust security framework

  • Excellent customer service and interpersonal skills

  • Adept project management, encompassing organization, planning, time optimization, and task prioritization including KPI development

  • In-depth knowledge and proficiency in Google Workspace tools and functionalities

  • Experience with Jira ticketing systems and HRIS integrations

  • Excellent leadership and communication skills

  • Willingness to travel domestically and internationally as needed

  • Nice to Have: Facilities knowledge and experience
